Reporting to the Chief Financial Officer, the Administrative Assistant is responsible for a wide variety of duties including, and not limited to, coordinating and maintaining information for various reports, and the general day-to-day office administrative functions. This position will support the Finance, Accounting and Corporate functions.
Maximize office productivity through proficient use of appropriate software applications.
Prepare a variety of reports and correspondence for distribution.
Responsible for the accurate input of project, financial data.
Maintain contact with customers and outside vendors.
Exercise considerable judgment on confidential or technical information.
Receive, sort, and distribute incoming mail as well as handle outgoing mail and shipments.
Maintain open communication with Executives and office staff company-wide.
Make occasional trips to deliver or obtain items.
Accurately scan and file all material.
Coordinate and organize lunches and materials for on-site meetings.
Make travel arrangements for Corporate staff and special meetings.
Handle ordering apparel, office supplies and other various items.
Track and coordinate leased equipment in branch offices.
Schedule meetings and send calendar invites.
Review and approve branch office supply orders and shipping to maintain consistency company-wide.
Perform additional tasks as assigned.
High School diploma or equivalent, Associate Degree preferred.
Four years of experience in administrative capacity, including customer facing experience.
Proficient in a variety of software including, but not limited to Microsoft Office, with emphasis on Word, Excel and PowerPoint. Experience with Deltek Vision a plus.
Demonstrate excellent communication skills, verbally and in writing.
Demonstrate strong analytical skills and attention to detail.
Travel as necessary to meet the needs of the position.
Ability to work well independently and on a team, demonstrating initiative where appropriate.
Ability to communicate ideas and information to staff, clients and vendors in a professional manner.
