The Audit Executive Administrative Assistant is responsible for the smooth flow of administrative work in the firm to ensure that both internal and external clients receive a high level of customer service. The ability to effectively multi-task and strong organization skills is important. A professional demeanor and a positive attitude are essential to this position.
This assistant is highly skilled and has the ability to successfully complete all administrative assistant functions and will take the initiative to assist or assume responsibility for functions when necessary. A positive attitude and ability to be a strong team player is essential.
Manages proposal process for Audit department
Issues dockets for accounting jobs, creates related work paper files
Manages financial statement proforma, format statements, bind and copy statements for distribution to clients
Data entry of accounting source documents into various accounting software
Monthly billing in firm software, produce and mail invoices
Administrative assistance to partner(s) and managers
Manages library including PPC, assists with on-line updates, ordering materials and filing of library materials
Quality control check completed tax returns, financial statements & financial statement paging
A&A Engagement QC administration
Technology Niche and AP&AS meeting coordinator (admin events & support)
Assist with tax return assembly, extension processing and e-filing
Filing, faxing, copying, front desk coverage, and meeting preparation
Rotation with Administrative Team for conference room set up, food coordination and filing
Performs other duties as required and requested by Managers and Partners
Required Experience and Attributes
Dependable, self-motivated and detail oriented. A minimum of ten years’ experience working in a CPA Firm with at least four years of experience in the audit department. In addition to excellent communication skills, be proficient in Microsoft Office software, Internet, experienced in financial statement preparation and procedures, engagement letters and correspondence, confirmation.com, CCH ProSystem Engagement, time management and expert experience in PPT.
Executive Administrative Assistant must have a college undergraduate degree or commensurate experience.
