Overall purpose of role

  • This role provides administrative coverage and supports the US Payments team

Key Accountabilities

  • Coordinate and arrange travel including preparing detailed travel itineraries, flight, hotel, and ground transportation
  • Liaise with clients and their assistants
  • Process and track expense reports, reconcile credit card statements monthly
  • Organize and maintain appointment calendar using MS Outlook, schedule meetings and conferences
  • Answer, screen and route telephone calls; respond to inquiries, as needed; take and deliver accurate, detailed messages
  • Prepare letters, memoranda and presentations
  • Create and maintain files
  • Assist where needed to support the success of the US Payments Team.

Risk and Control Objective

Ensure that all activities and duties are carried out in full compliance with regulatory requirements, Enterprise Wide Risk Management Framework and internal Barclays Policies and Policy Standards.

Person Specification

Basic Qualifications:

  • 3+ years of relevant experience supporting Senior Level personnel in a professional services environment
  • High school diploma

Preferred Qualifications:

  • College degree preferred
  • Exhibits strong organizational skills and attention to detail
  • Excellent verbal and written communication skills
  • Confidentiality and a professional demeanor
  • Must have demonstrated ability to coordinate travel arrangements, maintain calendars/schedules, manage expenses and handle a high volume of inbound/outbound calls for a team of 4+ people
  • Solid knowledge of MS Outlook, Word, Excel and PowerPoint
