POSITION SUMMARY:
The Conferences & Events Planner for IMA’s Professional Learning & Career Advancement (PLCA) team works with the team responsible for the logistics, administration, and delivery of many of IMA’s in person and online events including the annual conference, student events, women’s leadership series, board meetings, and committee events.
The Conference and Events Planner is responsible for the planning, coordinating, and delivery of meetings and conferences ranging in size from 15 to 400+ people, and assisting on the complex, large annual conference.
Specific Responsibilities and Skills Include:

Small to Mid-Size Meetings and Conferences: Manage and develop all logistical components including venue sourcing, contract negotiations, AV/Production, F&B and room set-ups, travel arrangements, exhibit hall set-up, registration and website, room blocks, offsite events, etc.

Large Annual Conference: Assist director of conferences & events with logistics such as vendor selections, rooming list, offsite events, exhibitor and sponsor communications, speaker communications, print and signage order, and other tasks as requested

Webinars and Virtual Workshops: Set-up webinars, speaker trainings, handle technical needs, comfortable moderating if needed

Onsite/day-of management for in person events, virtual events, and webinars

Strong knowledge of vendor and hotel contract selection and negotiations

Provide ongoing financial and registration reports to management, develop budget/reforecasts for product area and handle invoicing review/initial approval.

Collaboration with various departments in the development and delivery of meetings and conferences (branding, marketing, sponsorship, IT, governance)

Possess extensive understanding of hospitality industry, how it operates, how it is organized and how to manage through the system efficiently and effectively

Experience with various event delivery modes including in-person, hybrid, and virtual events

Ability to cultivate strong relationships with key business partners and vendors

Liaise with international staff on streamlining event branding and registration needs

Keep up to date on industry trends
KNOWLEDGE, ABILITIES and OTHER REQUIREMENTS:

3-5 years of relevant meeting and conference planning experience

Judgment and problem-solving skills to resolve unanticipated problems

Demonstrate calm under pressure at all times

Strong project management, organizational skills, and attention to detail

Excellent customer service, professional, and interpersonal skills

Team player, but able to work independently with limited direct supervision

Certified Meeting Professional (CMP) strongly preferred

Association experience preferred

Proficient in Microsoft Office software programs (Word, Excel, PowerPoint etc.)

Working knowledge of Cvent, Zoom Webinar and Meetings, ON24 and/or other virtual event and meeting management applications strongly preferred

Travel Required: 20% annual travel required for site visits and on-site conference management, weekend and holiday travel necessary at times
