We are looking to expand our experienced team by hiring for the role of a Client Service Associate. The Client Service Associate fulfills a key position within our practice by supporting all aspects of the client experience and working closely with our advisors and external partners to formulate solutions for our clients. The person in this role is focused on firm operations through direct client interaction and “behind the scenes” coordination with other team members to deliver premium client service.
Responsibilities:
Client Service
- Act as the primary contact for client service questions and problem resolution, working seamlessly with internal and external partners and escalating items as necessary.
- Provide client service by communicating via phone, email, and written correspondence.
- Handle client service requests including account maintenance requests, money movement (check requests, withdrawals, transfers, etc.) and account inquiries.
- Provide clients with technology assistance and training, as needed.
- Participate in client meetings, as needed.
Administrative Support
- Track all client updates and interactions in CRM, as well as assign and complete client-related tasks in CRM.
- Manage calendars and schedule client meetings for advisors.
- Prepare client review materials and ensure that data required for review is accurate.
- Manage client Required Minimum Distribution report.
- Maintain physical and electronic client files.
- Support general administrative needs, as necessary.
Operations
- Prepare paperwork for client transactions, including, but not limited to opening new accounts, closing accounts, transferring assets, deposits, withdrawals, account title changes, address changes, etc.
- Monitor, prepare and process IRA, CRT, and other distributions.
- Update processes and procedures related to the Client Service Associate position.
- Work with the team to address workflow issues, making suggestions for improvement to their systems and process, as needed.
- Collaborate with advisors and clients to design, implement, and monitor financial plans.
- Assist with data-gathering and fact finding.
- Prepare investment reports for client review meetings.
- Assist in the oversight of client accounts and portfolios.
- Consistently review practice specific models and investment offerings.
- Place trades and rebalance accounts.
- Manage our financial planning software.
- Maintain account aggregation reviewing connections and updating when needed.
Education, Skills, and Experience
- Bachelor’s degree or equivalent work experience (preferably in business or finance)
- FINRA Series 6 or 7 & 66 Registered (preferred)
- Life & Health Insurance Licensed (preferred)
- Notary Public (preferred)
- Proficient in Microsoft Office, Excel, and PowerPoint
- Strong oral and written communication skills
- Ability to prioritize and manage competing priorities
- Strong interpersonal, problem-solving, and teamwork skills
- Attention to detail
Candidates must possess a professional and approachable demeanor, and the ability to handle conflicting priorities. The skill sets required for this position include interpersonal, oral and written communication, strong technology acumen, spelling and grammar, planning and organizational skills.
Job Type: Full-time
Pay: $40,000.00 - $55,000.00 per year
