You Are an Executive Assistant

The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision. This person must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting an office of diverse people. This person should be, professional, pro-active, and knowledgeable and aligned with the needs of the business.

The ability to interact with staff (at all levels) in a fast paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role. Expert level written and verbal communication skills, strong decision making ability and attention to detail are equally important.

The Executive Assistant will:
Be responsible for heavy calendar management, requiring interaction with both internal and external executives and assistants, as well as consultants, to coordinate a variety of complex executive meetings
Be efficient in making complex International and Domestic travel needs
Copy quarterly financials and mail statements to lenders; provide CEO copies for board books; distribute copies to finance managers.
Work closely with Investor Relations on contacts database, road-show logistics, website upkeep, presentation printing/binding, etc.
Prepare proposals and high-level presentations
Prepare and process expense reports
Handle and have access to highly confidential information
Independently research, prioritize, and follow up on multiple incoming issues and concerns addressed to the Executive team, including those of a sensitive and/or confidential nature; determine appropriate course of action, referral, and/or response.
Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner
Able to communicate with all levels of internal and external customers both verbally and written

Must Have:
5 + years of related experience, including Office management experience and processing AP and working with vendors;
Extremely Professional and personable;
Excellent organizational skills with the ability to work in a fast-paced, demanding environment;
Comfortable working with financial data;
Service Oriented;
Focus on outcomes and follow-through;
Proficiency in Microsoft Office Suite and other software packages;
Proficiency in G Suite is highly preferred;
Proficiency in Korean, Japanese or Chinese a plus;
Must have excellent follow-up skills;
Excellent calendar management skills, including the coordination of complex executive meetings;
Bachelor’s degree (strongly preferred).
