POSITION OVERVIEW

The Diller Teen Tikkun Olam Awards (TOA) annually recognizes and awards up to 15 exceptional Jewish teens from California and across the United States for outstanding volunteer tikkun olam leadership. Each recipient is awarded $36,000 to further their tikkun olam project or to help support their education.

The program’s annual cycle is comprised of several phases: promotion and processing nominations and applications, managing committees and committee evaluation process, planning annual Awards events, and year-round engagement of past recipients and key stakeholders.

The Diller Teen Tikkun Olam Awards is a program of the Helen Diller Family Foundation, a supporting foundation of the Jewish Community Federation of and Endowment Fund of San Francisco, the Peninsula, Marin and Sonoma Counties.

POSITION SUMMARY

The Program Assistant is responsible for providing administrative and program support, as well as organizing and coordinating operations under the direction of the Program Director. Key responsibilities include general administration, managing online and software platforms, and contributing to year-round project management.

ESSENTIAL FUNCTIONS OF THE POSITION

Administrative/Finance

  • Contribute to year-round project management, utilizing Asana.
  • Provide general administrative support to Program Director, and other team members as needed.
  • Work with colleagues to ensure accurate and timely budget tracking, reconciliation, payment requests, reimbursements, vendor contracts, Award disbursements, etc.
  • Maintain current contact information for committee members and alumni (Raiser’s Edge / Salesforce / Airtable).
  • Supervise summer interns and/or temporary assistants (on an as needed basis).

Nomination/Application/Awardees

  • Manage the intake process of nominations, applications, and references in Salesforce.
  • Collect and analyze application data, generating statistical reports for the review and selection process.
  • Manage the creation and digital distribution of applicant materials for committee members.
  • Perform due diligence investigation/vetting of a subset of award applicants to help clarify veracity and details of their projects.

Events

  • Coordinate meeting logistics, video conferencing technology, and materials preparation.
  • Serve as a key partner coordinating Awards weekend events, ownership of key logistics (event catering, transportation, hotel reservations, etc.).
  • Research, develop and maintain guest lists for all Awards events using Raiser’s Edge.

Communications

  • Produce general correspondence, letters, mailings, etc.
  • Help manage communications with committee members, applicants, nominators, event guests, etc.
  • Manage applicant reminder email system, sending application status and deadline reminders and notifications to non-Awardees.
  • Respond to general inquiries about the program

Database/Web/Technology

  • Manage the Awards website (Wordpress) in partnership with professional technical support when required.
  • Ensure database maintenance and produce periodic program reports.
  • Manage Salesforce consultant projects and maintain a healthy database with an eye for improvements

EDUCATION OR TRAINING EQUIVALENT

  • 2+ years related professional experience.

QUALIFICATIONS (SKILLS, ABILITIES, LICENSES)

General

  • Excellent organizational and project planning/management skills.
  • Strong verbal and written communication skills.
  • Ability to work collaboratively and independently.
  • Strong interpersonal skills and high degree of integrity.

Technical

  • Strong computer skills required including MS Office Suite, particularly Excel experience
  • Database management experience
  • Salesforce and WordPress experience strongly preferred
  • HTML and Raiser’s Edge a plus
