The receptionist coordinates agency communications (phone, fax, the front desk, mail and any other method) and assists Agency staff as needed.
RESPONSIBILITIES AND DUTIES:
The receptionist preserves the confidential nature of the Agency whether client, family, staff or business related.
Greets all visitors, answers telephone inquiries and channels them appropriately including notification to appropriate clinical staff in urgent and emergent patient situations; receives messages and communicates as needed for follow up. Maintains staff sign in/out sheets.
Distributes inter-office and postal mail, creates the inter-office memo, receives packages, and opens and puts away office supplies.
Assists with data entry as directed for the electronic medical record and agency compliance activities. Back-ups team secretaries.
Sorts surveys and sends to appropriate office/team.
Other duties such as: stocking supplies (paper in copiers, pens, etc.), take out-going mail to mail box, fax to stand by staff, maintains surface work areas and cleanliness of coffee area etc.
Takes and types staff meeting minutes.
Assists with special projects as directed.
Perform other duties as assigned.
Qualifications - Minimum
High school diploma required; graduate of a business school or office experience preferred.
Minimum 2 years experience in a secretarial environment, preferably in Radiology or Scheduling experience.
Ability to use personal computer, copier, facsimile machine and postage meter.
Knowledge of death/dying issues and awareness of hospice philosophy.
Good communication and organizational skills.
Has a valid driver’s license and is insured in accordance with state and/or organizational requirements.
