As an Administrative Assistant, you will be providing general office reception for the building, performing a wide variety of clerical activities including administrative support to the Leadership Team. The Administrative Assistant will answer and direct all incoming calls, signs in and checks out all visitors, patients and guests. other duties assigned as necessary.
Required: High School Diploma, understanding of behavioral health/substance abuse industry
Must have excellent organizational skills, detail oriented, initiative and follow through.
Must have general knowledge and background of substance abuse/behavioral health population.
Must have good oral and written communication skills
Must maintain professional demeanor, positive attitude and client-first mentality.
Must be ready to respond quickly and effectively to many types of situations, including crisis situations and potentially hostile situations.
Preferred: BA/BS Healthcare related field
Essential Functions/Job Duties:
Consistently communicates within boundaries of confidentiality policies and procedures with all patients and visitors.
Follows correct procedures if callers or visitors display threatening or other potentially dangerous or disruptive behaviors. May use TACT and behavior management techniques in crisis situations
Demonstrates knowledge of the organization’s various emergency codes response procedures.
Responds politely and helpfully when information being sought is unavailable.
Consistently notifies appropriate department staff of patient’s or visitor’s arrivals.
Promptly makes eye contact with and greets clients and guests in a pleasant, courteous and clear tone of voice upon presentation.
Records and routes telephone and in-person messages accurately, completely and promptly.
General reception support including scheduling meetings, routing mail and notifying departments of critical package deliveries, and assisting visitors.
Addresses any problems promptly and communicates problems with manager if necessary.
Demonstrates ability to follow instructions related to special projects for leadership team including; processing employee expense reimbursements and tracking credit card payments, any and all administrative duties assigned.
Maintains and manages the Conference Room schedule and assists staff with reserving meeting times.
Presents self and Riverside Recovery by displaying professional behavior and appearance.
Supports the Mission and values of Riverside Recovery; creates solutions that add value to the operations of Riverside Recovery.
Provide assistance, when necessary, to COO and Human Resources with varied tasks that support the Senior Management Team.
Assists Facility Manager and Kitchen Assistant with Catering orders and updating census.
Lobby Cleanliness: Cleans lobby daily, keeps diffuser on with signature RR scents, plays music and video with calming/soothing feel, checks and lobby restroom daily, cleans front door glass every morning, stocks waters and brochures in lobby
