Scheduling Coordinator (Remote)

Location: Fully Remote (U.S. Preferred)
Schedule: Monday–Friday, 10:00 AM – 7:00 PM Pacific Time

We are seeking an experienced Scheduling Coordinator who thrives in a fast-paced environment, takes ownership of their responsibilities, and is committed to ensuring seamless scheduling operations.

Position Overview

The Scheduling Coordinator will be responsible for managing interpreter and translator assignments, coordinating schedules, and ensuring that client requests are fulfilled accurately and efficiently. This role requires exceptional organizational skills, attention to detail, and a strong sense of accountability.

We are looking for someone who doesn't wait to be told what to do—they proactively solve problems, communicate effectively, and take full ownership of their work from start to finish.

Key Responsibilities

Schedule and coordinate interpreter and translator assignments for clients nationwide.
Match language professionals with client requests based on availability, qualifications, and project requirements.
Monitor daily schedules and proactively address conflicts, cancellations, and last-minute changes.
Communicate with clients, interpreters, translators, and internal team members to ensure smooth service delivery.
Maintain accurate scheduling records and update systems in real time.
Follow up on open requests and ensure all assignments are properly staffed.
Identify process improvements and contribute to operational efficiency.
Provide exceptional customer service while maintaining professionalism under pressure.

Qualifications

Minimum 5 years of scheduling or dispatching experience required.
Experience coordinating multiple schedules in a high-volume environment.
Strong organizational and time-management skills.
Excellent verbal and written communication skills.
Ability to prioritize competing demands and make sound decisions independently.
High attention to detail and accuracy.
Proficiency with scheduling software, databases, and Microsoft Office/Google Workspace.
Experience in interpreting, translation, healthcare, legal, or service-based industries is a plus.
