Full Job Description

Position Summary: The role of the position is to prepare for, communicate and manage all customer production orders between our customer scheduling contacts, and our production floor scheduling, ensuring that all lead time and drop in agreements are maintained and when there are scheduling issues, to escalate and lead the resolution between the customer and IPC.

Qualifications:

Required:

· Strong organizational and planning skills

· Ability to analyze impacts using Microsoft Excel Spreadsheets

· Proficiency with standard Microsoft Office (Excel, Word & Outlook)

· Good communication and interpersonal skills

· Detail oriented, outgoing, and self-driven individual who enjoys working in a team-environment

· Ability to establish priorities, work independently, and proceed with objectives without supervision.

· Basic computer skills for data entry

· Experience with Microsoft Office (Excel, Word, Outlook) with average to above average excel skills

· Accuracy in all work performed

· Previous office experience within manufacturing company

Preferred:

· Working knowledge of computers and ERP systems (Infor/Mapix AS400 system ideal)

· College Degree

· Minimum of 3 years office experience

Primary Position responsibilities:

1. Customer service responsibilities

· Maintain an professional supplier/customer relationship by being courteous, cooperative and focused on our customers’ needs

· Fully understand the lead time, safety stock, MOQ’s and other planning agreements made between IPC and each assigned customer for proactive management by exception when issues arise.

· Develop a robust knowledge of the customer’s systems and processes and how they interact with IPC’s.

· Ensure high levels of communication of status with the customer when questioned or issues arise

· Evaluate short term changes to customer orders and lead resolution between Customer Service, Material Planning, Scheduling and the Customer for orders outside of established lead time and/or customer “drop in” orders.

· Expedite orders through our system as required.

· Inform scheduling/shipping of our customer’s special requirements as needed.

· Receive customer phone calls (i.e. taking orders, checking on existing orders and other customer inquiries

· Coordinate cross-function discussions to resolve identified issues with supporting customer orders, including approved orders for expedite.

2. Order entry & communication responsibilities

· Read, evaluate, enter and manage customer orders both manually, and through electronic data interface (EDI) on Computer System for assigned customers and serve as a back-up to other members of the team.

o Identify all reasonable customer order issues BEFORE they get to the floor

ü Drop-ins, Qty changes within lead time, Order Cancellations within lead time

· Ensure a highly communicative environment between the Customer Service Team and the other cross-functional members, and the Customer of pending orders, especially if there were any initial delays for whatever reason.

· Communicate special orders to the appropriate department.

· Evaluate all customer P.O. information for changes and special notations including: revisions, pricing, last shipments and shipping location

· Lead and monitor the customer trial orders once EDI orders are initiated prior to Launch of New Parts

3. Data Management Responsibilities:

· Support cross-functional team with customer service data deliverables associated with:

o Material Planning Supplier Forecasting (especially for imported materials) Support

o Product Structure & Routing (PSR) Development & Data Entry

o ECN Process Support

o Contract Review and Customer Pricing Updates teamed with Inside Sales Specialists

o New Customer Form completions

· Translate customer data into weekly through annual projections in support of forecasting. (Future)

· Acknowledge purchase orders back when necessary.

4. Manufacturing order responsibilities

· Analyze item-short report to determine if there is a need to produce or maintenance manufacturing orders for remote facilities.

· Enter manufacturing orders as needed for remote facilities.

· Update product structure and routing as needed.

· Process ECNs as needed.

· Analyze customer requirements report as required.

· Issue Devi’s as needed

5. Lead the cross-functional Customer Build-out process beginning at least 6 months prior to the projected part/program End of Production

6. Performs other duties as assigned to include special projects, programs and developmental activities.
