Full Job Description

The Associate Vice President of Finance and Controller is responsible for providing leadership and broad strategic oversight of financial and accounting policies and procedures to assist the College’s Trustees and Administration in the effective management, monitoring, and control of the financial resources of the College. This position leads an organization of 3 staff members and assists the Chief Financial Officer in overseeing the annual operating budget of $25+million, the 5-year strategic planning model, as well as other strategic initiatives to enhance the financial sustainability of the College.

Manage all general accounting functions – general ledger, journal records, accounting, and College chart of accounts.
Work with external auditors to schedule, coordinate, and complete the fiscal year-end audit; prepare financial statements and supporting documentation required to complete the audit report in a timely manner, including debt service coverage analysis and DOE ratio reporting. In addition, understand and explain audit reports to the Board and senior staff.
Manage the operations of the Business Office. Supervise services including accounts payable, other payment methods such as credit cards and direct debits/credits, student receivables, institutional student loans, cash receipts, investments, annuitant and trusts, government and private grant/contract accounting, contract review, procurement, and general accounting. Continually evaluate services and make changes necessary to increase office effectiveness. Assess staffing roles and responsibilities and determine appropriate processes and procedures for efficient and accurate office performance and campus support. Supervise and develop business office staff, including cross-training where appropriate.
Develop, document and explain accounting policies and procedures. Ensure College compliance with all governmental regulations and accounting requirements as well as to provide proper oversight and control of College’s resources by establishing and publishing effective policies. Explain the need for the policies and how to comply with them to non-financial College personnel.
Prepare all internal and external financial statements including year-end Generally Accepted Accounting Principles (GAAP) financial statements, quarterly GAAP-like financial statements for the bank, monthly financial statements for management, and any ad-hoc analytical requests. An important component of this function is the analysis and understanding of the short and long-term financial performance and ability to identify recommendations for improved performance.
Manage College bank accounts including daily cash balance monitoring, line of credit requirements and Federal funds drawdown responsibilities. Develop and maintain long-term cash projections to anticipate cash needs or sources of additional capital.
Complete financial surveys as required, including the annual Standard & Poor’s survey, IPEDS Finance Survey, Ohio Charitable Registration filing, US Census Bureau Filings and provide financial data to others as required.
Monitor the College’s bond covenants. Develop forecast for the covenants to help ensure the College remains in compliance with its bond covenants, communicate to the Chief Financial Officer if the College is at risk of not meeting its covenants. Produce the annual continuing disclosure document for bondholders.
Monitor and maintain pledge receivable records while working closely with Advancement staff. Record pledge receivables in financial reporting system, monitoring pledge write-offs, accuracy of pledge amounts, collectability of pledges and proper discounting methods.
Unitize gifts for the Endowment Fund quarterly and prepare analysis and reports that utilize the market values of the College’s endowment. Create investment reports for Advancement and donors.
Prepare and file all College related tax forms and schedules including the 990, 990T and other tax forms such as the W-3, 1098, and 1099’s.
Attend and participate in Audit, Investment and Finance Committees of the board of Trustees.
Perform other duties as assigned.

Skills & Knowledge

Demonstrated proficiency in Microsoft Office and Ellucian Banner or similar nonprofit accounting software.
High degree of professional confidentiality expected.
Knowledge of FERPA.

Experience

Demonstrated finance and accounting experience working with nonprofit organizations; higher education experience preferred.
Seven or more years of progressively responsible experience in complex organizations; must have accounting and supervisory experience.

Extensive managerial and administrative experience in financial management, analysis and forecasting and experience with complex financial reporting systems.

Education

Bachelor’s degree in accounting, finance, or related field required.
MBA or CPA a plus.
