Full Job Description

M & J Wilkow, Ltd. has been in the commercial real estate business for 85 years. Its property management portfolio currently consists of office and retail properties covering approximately 14 million square feet. A core conviction of the Company’s Principals is the belief that each employee is responsible for making an important contribution to the success of the Company, as well as the performance of the properties in the Company’s portfolio. This expectation is not limited by the specific parameters of the job description. General Position Summary:

The Assistant General Manager (AGM) is responsible for providing support to the General Manager Water Tower Place at in all areas of management for the assigned properties including accounting, operational and administrative functions. The position may occasionally require attendance at evening or weekend property events and/or marketing programs.

Essential Functions/Major Responsibilities:

· Assist GM with preparation and submittal of Monthly and/or Quarterly Reports, such as MRI reports, sales reports, etc. as required; assist with annual Budget creation, monthly forecasting and regular financial reporting. Serves as liaison for client reporting needs.

· Manage contractor and vendor relationships, seeking bids for work, preparing contracts and managing service provider work product.

· Communicate with property accountants and A/R team on Manual Billing Adjustments, unapplied cash, etc. to ensure accurate statements.

· Monthly A/R collections and follow-up as directed by GM.

· Support leasing efforts by assisting with prospective tenant visits and tours. Support leasing team on efforts to secure new leases and renewals.

· Review reconciliations with GM for approval and ensure proper mailing of year-end reconciliations. Work with tenants on questions regarding the reconciliations once mailed and follow-up on tenant payments.

· Process payables in a timely manner through AVID.

· Track Real Estate Tax due dates; ensure checks are processed and mailed in a timely manner. Follow-up to ensure payments were received and processed by the taxing authorities.

· Maintain/Update tenant insurance tracking in Ebix system or/and in Excel.

· Prepare letters for new tenants such as Possession and Commencement letters

· Prepare incident reports and communicate with the insurance company when needed.

· Assist with tenant issues, maintenance calls, and tenant improvement projects.

· Maintain/Update Emergency Response Manual and other property information spreadsheets.

Update utility tracking reports.

Reporting, Community Involvement and Professional Development:

· · Maintains good working relationship with community partners and attends industry association meetings, trainings, etc.

· Maintains appropriate CEU’s to ensure any Real Estate license requirements are met.

· Stays abreast of property management and other real estate related industry standards, legislation impacting department and industry practices, policies and procedures.

· Regularly communicates and cooperates with Asset Management staff on all PM reporting and regulatory issues.

Interpersonal Contacts:

It is essential that the Assistant General Manager reflects and adheres to the highest standards of ethical behavior. He or she is expected to express a professional, courteous attitude, as well as be team oriented. Contacts are normally made with others both inside and outside the organization. External contacts occur with investors, regulatory agencies, vendors, and community partners. Internal contacts occur with all levels and areas of the organization, including other department heads, asset managers and staff. Contacts are usually made on own initiative and often concern confidential or sensitive matters requiring the use of discretion, negotiation, or persuasion.

Specific Job Skills:

· Strong knowledge of property management and tenant/landlord practices, laws, rules, and regulations. Good command of commercial management and leasing practices.

· Ability to analyze, evaluate and act on issues and/or problems, reach sound conclusions and take as appropriate action.

· Possess good verbal, written and interpersonal communication skills, as well as good computer skills. Experience with property management software helpful.

· Assist any third-party Risk Advisor with property related insurance issues, including the Tenant & Vendor Certificate procedures and the placement of the property policies

Education and/or Experience:

· Bachelor’s degree or 5 years relevant experience, preferably in retail commercial environment.

· Real Estate Salesperson License preferred.
