Job Description:

Demonstrates the ability to engage consumers in a welcoming, hopeful, empathetic manner regardless of disability or phase of recovery. Provides a welcoming lobby area.
Maintains a healthy, clean and safe lobby and front desk. Maintains all required documentation for funders (i.e. ORR booklets, credentialing information, etc).
Ensures that the team has what they need in order to be successful (i.e. office supplies, an organized work environment, kitchen supplies, etc).
Alerts management and maintenance immediately when needed. Communicates outcomes with the team.
Communicates clearly and quickly with the team when needed.
Provides outstanding customer service.
Inputs, updates, and maintains the centralized schedule for ABA and Med Rehab services for assigned sites.
Answers calls, obtains insurance information, verifies authorizations, and schedules appointments as appropriate. May be responsible for answering and triaging internal and external telephone calls as needed.
Maintains the staff appointment schedule. Making/changing appointments, making changes and making follow-up phone calls to minimize “no shows.”
Communicates with families via phone regarding missed appointments and “no shows.”
Manage the tracking and coordination of new service referrals for Med Rehab
Coordinate requests for insurance authorizations for initial and ongoing Med Rehab services
Update the EHR with service authorizations in a timely manner
Manages the backfill process and makes follow-up calls to schedule appointments.
Supports the engagement of consumers in services by processing annual documentation, outreach, and attendance letters.
Answers both general and specific inquiries regarding departmental procedures, some of which may require detailed interpretation of departmental policies and procedures.
Operates a variety of office machines, such as personal computers, typewriters, adding machines, and calculators.
Demonstrates knowledge of principles of trauma informed care.
Willingness to support and assist consumers with trauma related issues.
Acts as a liaison with the billing department, receives specialized training and is responsible for ensuring that workflow functions are in compliance with existing policies and procedures that are applicable.
Identifies, communicates, and assertively pursues solutions in collaboration with the program director, and billing department, weaknesses in workflow functions and activities.
Updates Ability to Pay (ATP) financial information, enters/scans the financial information in the EMR and acts as a liaison between consumers, staff and the billing department.
Collects co-payment/co-insurance from families served.

Minimum Qualifications:

Be a high school graduate or have a certificate of successful completion of the General Educational Development Test.
Have two (2) years of responsible full-time clerical experience.
Excellent customer service skills.
Ability to make general decisions in accordance with departmental policies and procedures.
Knowledge of modern office equipment, practices, and procedures.
Knowledge of modern record keeping management and operations.
Knowledge of grammar, spelling and punctuation.
Ability to follow complex oral and written instructions.
Computer literacy and competency with Microsoft Office Professional package including demonstrated proficiency in Access, Excel, PowerPoint, and Word.
Must possess a knowledge and understanding of co-occurring disorders (mental health & substance abuse).
