POSITION TITLE: Visitor Services Lead

STATUS: Full-time, Non-Exempt $22 per hour

REPORTS TO: VP of Operations & Finance

ABOUT THE MUSEUM OF LATIN AMERICAN ART

The Museum of Latin American Art (MOLAA) in Long Beach, California is the pioneering museum in the United States dedicated to modern and contemporary Latin American and Latino art.

MISSION

The Museum of Latin American Art expands knowledge and appreciation of modern and contemporary Latin American and Latino Art through its collection, ground-breaking exhibitions, stimulating educational programs and engaging cultural events.

POSITION DESCRIPTION

The Visitor Services Lead is responsible for the successful management of the daily operation of the Visitor Services department. A successful individual will work well independently and collaboratively to ensure a positive visitor experience, excellent customer service, and highly effective logistics for public participation in exhibitions, programs, and events.

ESSENTIAL FUNCTIONS

Visitor Engagement and Membership:

Ensure a high quality of service and a high level of visitor satisfaction through oversight of all aspects of the full cycle of the visitor experience at the museum, including customer service, visitor safety and museum information.
Lead Visitor Services staff by example and in a hands-on manner to ensure excellent service and a positive museum experience that encourages repeat visitation and community participation.
Collaborate with the museum’s communications/marketing team to ensure that information about museum exhibitions and programs are effectively shared with the public by Visitor Services staff. Includes consistent monitoring of all marketing collateral distributed at the front desk and confirming up to date digital display of programming.
Handle visitor concerns, comments. and complaints that cannot be settled at entry level.
Working with the Membership & Database Manager to manage all member communications, including monthly renewals, lapsed members, quarterly calendars, printing/distribution of membership cards and other communications as needed.

Department Operations:

Oversee daily Visitor Services operations, and proactively assess and recommend enhancements and improvements that are aligned with the museum’s mission and budget.
Collaborate and communicate in a highly productive and effective way with events, operations, security, and other staff on all visitor-related issues, including leading and participating in regular interdepartmental planning meetings.
Develop and ensure that department systems, procedures and practices support effective operations while providing outstanding customer service.
Prioritizes the collection, analysis, and use of data as a means to measure effectiveness of all aspects of Visitor Services, including ticketing, capacity and pricing, hours, and customer satisfaction.
Communicates regularly with other departments to ensure operational awareness of all Visitor Services functions.
Assist with Museum Store operations as needed, including, but not limited to, working as a cashier in MOLAA Store as needed and helping the Store Manager track store inventory in store database.
Coordinate with Education/ Group Sales team to ensure positive group visitation experiences.
Ensure professional appearance and maintenance of front-of-house Visitor Services areas, including public desks, office, break areas, and temporary workspaces.
Perform other operational responsibilities as needed and assigned.

Management and Training:

Assist with the recruitment and hiring process of all new Visitor Services Associates.
Train and familiarization of ticketing system, becoming a system administrator capable of training visitor services staff and new hires. (Altru System).
Onboards and trains the Visitor Services Associates (VSA) team to ensure a premier experience for all on-site visitors, members, donors, and event guests to the Museum.
Oversee staff presentation, uniforms, customer service training, and adherence to Museum standards and policies.
Staffing and scheduling of VSA staff to ensure consistent and adequate coverage of the Front Desk, galleries and museum shop; and approving VSA timecards per pay period.

Box Office:

Responsible for programming and managing the Blackbaud Altru ticketing system, serving as a system administrator for training box office staff and new hires.
Maintains accurate records and financial controls for box office sales and ticketing equipment.
Collaborates frequently with Marketing and Membership to implement and ensure effective front-line sales efforts.
Ensures compliance of employees with established cash handling policies, security, sales and record keeping procedures and practices.
Manages admissions function, as well as walk-in and on-line ticketing of admission and special event programs. Administration:
Build, improve, and manage policies and procedures that improve staff performance, maximize resources, and streamline operations.
Provide ongoing coaching and feedback to Visitor Services Associates.
Perform other administrative and budget management responsibilities as needed and assigned.
Running admissions, membership, or other reports as requested.
Other duties as assigned.

MINIMUM QUALIFICATIONS:

Associate of Arts degree (or equivalent experience) in Art, Art History, Museum Studies, or Hospitality preferred.
2-3 years of visitor or customer service experience in a management capacity; museum/cultural institution/attraction setting required.
Proficient use of MS Office software and CRM databases (Blackbaud Altru or equivalent desired).

ESSENTIAL KNOWLEDGE, ABILITIES, AND SKILLS:

Experience with personnel and budget management, staff development and training, team building, and ability to work productively and collaboratively with all levels of management and staff.
Strong friendly and welcoming engagement with and knowledge of visitor service principles, practices, and procedures; and museum/attraction audiences.
Professional, polished, and positive attitude and demeanor, with exceptional communication skills, in both public-facing and internal meetings, and discussions, including demonstrated skill in presenting information and facilitating positive dialogue with the public.
Demonstrated strength in managing time, completing tasks, and being proactive, accountable, and adaptable in dynamic and creative setting and multifaceted role with competing demands on attention and frequently changing and conflicting priorities and deadlines.
Demonstrated ability to take initiative and work independently, while understanding and accepting nuanced direction.
Excellent organizational abilities, analytical skills, and attention to detail.
Excellent judgment and discretion in handling confidential and sensitive information, situations, and matters.
Ability and willingness to work a flexible schedule, including weekends, evenings, and holidays as needed.
Excellent verbal and written communication skills, including ability to effectively listen and respond to complaints or conflict.
Ability to work independently and within a team.
Outstanding customer service skills and telephone etiquette.

ADDITIONAL REQUIREMENTS AND PHYSICAL DEMANDS:

Capacity to sit or stand for long periods of time.
Ability to lift up to 25 lbs.
Bilingual in Spanish preferred.
