Full Job Description

Job Title: Operations Lead 1099 Contractor

Schedule: This position generally operates during normal business hours on an as‑needed basis, but it requires a flexible schedule, including occasional evenings and weekends when required.

Compensation: $30/hr up to $1,200 per month. Bonus pay for awarded grants the Operations Lead submits.

Location: Primarily remote, with occasional in‑person work as assigned.

Reports To: CEO

Direct Reports: up to 5 team members within a single business unit as we grow

Employment Type: 1099 Contractor

Teache is an HR consulting firm and tech startup that provides small businesses with practical, affordable HR support and compliance solutions, along with a proprietary HR platform designed for growing teams.

Sol Essence is a wellness and lifestyle brand focused on curated products and experiences that promote balance, intentional living, and everyday ease.

Both businesses are founder-led and growing, each with distinct goals and audiences.

We are seeking a proactive, detail-oriented Operations Lead to support day-to-day operations across both Teache and Sol Essence. This role will help keep business functions organized, efficient, and moving forward across two different operating models—service-based and product-based.

Key Responsibilities

Client & Project Support

Help manage and execute paid client deliverables such as (but not limited to) HR handbooks, training materials, policy documents, and onboarding content.
Assist with eLearning builds, branding templates, and formatting using Word, Canva, and PowerPoint.
Track deadlines and help ensure all deliverables are completed accurately and on time.

Software Support & Inquiries

Serve as the first point of contact for client inquiries submitted through Teache’s HR software platform.
Answer general questions, triage issues, and escalate complex cases to the founder or technical team.
Help with onboarding new clients into the platform and explaining basic features.
Document frequently asked questions and contribute to improving the knowledge base.

Grant & Funding Support

Research new funding opportunities and maintain a tracker for deadlines and required documents.
Support the preparation of grant applications and pitch decks, including gathering attachments and coordinating video submissions.
Assist with editing responses using Teache’s business plan and supporting documentation.

Government Contracting Support

Monitor local, state, and federal procurement portals (SAM.gov, city & state bid sites).
Maintain a tracker of relevant contracts and submission deadlines.
Help organize documentation for certification and proposal requirements (e.g., MBE, WBE, WOSB, capability statement).
Support proposal assembly and formatting for RFQs/RFPs in collaboration with the founder.
Track submitted proposals and maintain a contract file system.

Sol Essence

Manage inventory, track stock levels, and coordinate product restocking with vendors.
Oversee order fulfillment processes, including packaging, shipping, and delivery tracking.
Coordinate with suppliers and vendors to ensure timely product sourcing and quality control.
Support planning and execution of pop-up shops, community events, and in-person activations.
Organize and improve operational systems for customer experience, order management, and day-to-day business workflows.

Internal Operations & Coordination

Maintain organized folders, SOPs, trackers, and internal documentation.
Support light scheduling, meeting preparation, and administrative follow-ups.
Coordinate milestones and deliverables with designers, developers, or external partners.
Manage day-to-day office logistics including supply tracking, inventory orders, and coordinating workspace needs for hybrid work.
Monitor shared inboxes and respond to general business inquiries or forward messages to the appropriate team member.
Respond to inbound sales inquiries related to services when the founder is unavailable. Provide accurate information, schedule follow-ups for the founder, and route all escalated inquiries directly to the founder for response.
Assist with light bookkeeping or data entry tasks such as invoice tracking, vendor coordination, or file organization.
Maintain digital organization across shared drives, calendars, and administrative systems.
Prepare agendas or summary notes for internal meetings and support scheduling follow-ups.
Collaborate with AI-powered internal tools (including ChatGPT Agent) for support with research, formatting, scheduling, and automation of designated tasks.
Coordinate with vendors, tech support, or external contacts for small business operations as needed.
Serve as the primary support for training new hires across roles, ensuring access to tools, internal systems, and established processes.

Qualifications

Detail-oriented, dependable, and self-managed
Strong communication, writing, and formatting skills
Tech-savvy and comfortable using tools like ChatGPT or AI related software, Microsoft Office, Canva, Asana, Front, Zendesk, and other productivity tools.
Must be comfortable reviewing and finalizing auto-generated drafts or deliverables as needed.
Ability to adapt quickly in a small business/startup environment
Interest in long-term growth within a mission-driven, founder-led company
Prior experience in operations, HR support, client services, grants, or government contracting is a plus

Compensation & Benefits

$30/hour up to $1,200 a month. Bonus pay for awarded grants the Operations Lead submits.

Pay: Up to $1,200.00 per month
