ESSENTIAL FUNCTIONS:
- Provide administrative support to the Recruiters, HR Managers and HR teams, including file creation, filing, answering phones, copying, and scanning.
- Assist with candidate prescreening activities, including, processing background checks, and conducting employment verifications.
- Assist with the data entry in HRIS of all paperwork received from the HR Team including new hire paperwork, terminations, status changes, etc.
- Assist with onboarding and offboarding processes.
- Responsible for organizing all new hire paperwork and creating files for each new employee.
- Maintain human resources files and employee records.
- Respond to employment verification requests.
- Archive employee files based on established record retention policy.
- Post job openings with various job sites and maintaining tracking spreadsheet to ensure postings remain active as needed.
- Schedule interviews, including sending out calendar appointments, confirmation emails and preparing interview folders for candidates.
- Coordinate meetings, including scheduling, submitting video conference and hospitality requests, booking conference rooms, and preparing materials.
- Assist with recruiting initiatives including assembly of materials for career fairs and assistance with coordination of events held at the Firm.
- Assist with Staff orientation.
- Assist with annual staff performance evaluation process.
- Research employment laws for updates and inform HR team regarding new developments.
ADDITIONAL FUNCTIONS:
- Various short-term and long-term projects, as assigned.
- Assist with other related administrative duties, as assigned.
- Other duties, as assigned.
QUALIFICATIONS (EXPERIENCE, KNOWLEDGE, SKILLS AND ABILITIES):
Education:
- Bachelor’s degree required. A combination of education and prior experience working in a law firm setting will be considered in lieu of a bachelor’s degree.
Experience:
- Two years of Human Resources experience, with a focus in Recruitment, is preferred.
Knowledge, Skills, & Abilities:
- Proficiency with HRIS systems.
- Must exhibit a high degree of initiative in managing multiple priorities simultaneously in a fast-paced, deadline-driven, detail-oriented work environment.
- Ability to utilize advanced features of Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Ability to use standard office equipment, including personal computer, copier, scanner, facsimile, telephone, etc.
- Excellent organizational and communication skills with close attention to detail.
- High level of interpersonal skills to build relationships across departments and offices.
- Maintains employee confidence by keeping human resources information confidential.
- Ability to work well in a team environment.
- Ability to organize, prioritize, handle multiple job responsibilities/projects and meet deadlines.
WORK ENVIRONMENT & PHYSICAL DEMANDS:
This job operates in a clerical, office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
PHYSICAL REQUIREMENTS
Sedentary work: Exertion of physical strength to lift, carry, push, pull, or otherwise move objects up to 10 pounds. Work involves sitting most of the time. Walking and standing is often necessary in carrying out job duties.
VISUAL ACUITY
Worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading.
