As a member of the Talent Management team, the Leave Administrator is responsible for managing Firm-wide leaves of absence and accommodations including those arising under the Family Medical Leave Act (FMLA), Worker’s Compensation, and the Americans with Disabilities Act (ADA), ensuring compliance with federal, state, and local laws.
ESSENTIAL FUNCTIONS:
- Manage routine to complex employee leaves of absences (LOA) including, but not limited to Family Medical Leave Act (FMLA) (full and intermittent), state and local leave programs, workers’ compensation, and unpaid leaves.
- Manage the leave administration process from initial notice of the need for leave to the employee’s return to work. Gather and ensure completion of required paperwork, including medical certifications.
- Determine eligibility for leave benefits based on relevant medical information, legal regulations and Firm policies while adhering to set timelines. Designate or deny leaves as appropriate, recertify leaves, document processes, decisions, and approvals ensuring a consistent and fair approach to leave management.
- Ensure that appropriate and required leave information is provided to employees, verbally and in writing. Advise employees on the interaction of leave laws with paid time off, worker’s compensation, and short-term and long-term disability benefits.
- Manage all administrative aspects of leave claims to include tracking time used and working closely with payroll to ensure pay is processed accurately and timely, including reporting hours each pay period, tracking leave time, and notifying employees of expirations and need for recertification.
- Work closely with employees to ensure that all relevant completed medical documentation is submitted for timely review. Maintain appropriate level of contact with employees on leave and coordinate all aspects of return to work for employees on leave.
- Evaluate and provide consultation to ensure compliance on leave-related issues, including FMLA, ADA, State & Local Leave Laws. Escalate concerns as appropriate.
- Produce and manage reporting and metrics and analytics for all leave cases. Communicate leave statues updates to HR and management.
- Constantly look to improve internal controls and automated system capabilities and make recommendations to improve the efficiency of the department.
- Provide administrative support, to planning, coordinating, and scheduling of healthcare/wellbeing informational sessions and prepare and distribute communications to employees regarding the events.
- Assist with monitoring and evaluating data, trends, and Federal/State legislation that may impact the leave of absence.
ADDITIONAL FUNCTIONS:
- Provide support for major projects and other duties and tasks as assigned.
QUALIFICATIONS (EXPERIENCE, KNOWLEDGE, SKILLS, AND ABILITIES):
Education:
- Bachelor’s degree in human resources or related field or equivalent work experience, required.
Experience:
- 5 years of experience working in a fast-paced human resources department with an emphasis on benefits administration.
Knowledge, Skills, & Abilities:
- Knowledge of Human Resource Information Systems.
- Knowledge of FMLA, ADA, Workers’ Compensation federal and state laws across multiple states.
- High attention to detail and customer service oriented.
- Strong interpersonal skills, ability to communicate clearly and effectively both verbally and written. Ability to build credibility and trust and professional relationships.
- Ability to manage multiple priorities simultaneously with professional attitude and exceptional organizational skills under pressure. Ability to adapt quickly to change and demonstrate continuous process improvement.
- Self-motivated and ability to work well within a demanding environment with strict deadlines.
- Strong critical thinking and analytical/problem solving abilities.
- Basic math and calculation skills.
- Intermediate to advanced skills with Microsoft office products (Word, Excel, PowerPoint, Outlook).
WORK ENVIRONMENT & PHYSICAL DEMANDS:
This job operates in a clerical, office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
PHYSICAL REQUIREMENTS
Sedentary work: Exertion of physical strength to lift, carry, push, pull, or otherwise move objects up to 10 pounds. Work involves sitting most of the time. Walking and standing is often necessary in carrying out job duties.
VISUAL ACUITY
Worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading.
