What we want

The Program Manager, under the general supervision of the Program Director, manages the planning, development, and implementation of all elements of the Military Medicine Program at Texas A&M University School of Medicine. Oversees clerkships and electives on Fort Cavazos and Joint Base San Antonio, manages the Military Medicine Distinction and other training/ educational experiences within the program and assists the Director with strategy and outreach in pursuit of program growth and maturation.

Required Education & Experience:

Bachelor’s Degree or equivalent combination of education and experience
Five (5) years of experience in program management, coordination or related areas.

Required Knowledge, Skills and Abilities:

Expertise in spreadsheets, presentations, and word processing software programs and applications.
Excellent interpersonal, problem solving, communication skills and ability to plan and organize effectively.
Ability to multitask and work cooperatively with others.
Effective and strong verbal and written communication skills.
Ability to perform all tasks and job responsibilities safely without injury to self and others in compliance with Texas A&M University System and HSC policies and regulations.
Maintains attention to detail and utilizes sound judgment.

Preferred Qualifications:

Bachelor’s degree in business administration, communications or other related field, i.e. marketing.
Five (5) or more years of program management and coordination.
Veteran status and / or prior military experience is a plus.
Experience working in a Health Science Center and/ or Higher Education setting.
Five (5) or more years of supervision and leadership. Efficient use of FAMIS, Canopy, Workday, AggieBuy, CONCUR is a plus.

Responsibilities:

Program Management – Military Medicine : Assists Program Director and Academic Affairs with administration of the Military Medicine Distinction track. Organizes and manages other training and educational offerings within the program. Facilitates and organizes meetings as required. Assists the Program Director with strategy and implementation of outreach/ communication efforts in pursuit of program growth and maturation. Serves as office manager and assures confidentiality of mail, correspondence, and reports. Oversees the creation, maintenance and retention of office files and records. Gathers information and conducts research in support of the program which may include grant application and communication between partners by attending weekly and monthly meetings and conference calls.

Credentialing and Military Elective Coordination : Leads, coordinates, monitors, and maintains the credentialing and onboarding process for School of Medicine students to ensure compliance with the Department of Defense (DoD) regulatory guidelines. Submits all required paperwork prior to the start of electives while ensuring completeness, accuracy, and compliance with DoD regulations. Identifies issues that require additional investigation and evaluation, validate discrepancies, and ensure appropriate and timely follow-up. Assists with the coordination of all military electives produced from School of Medicine campuses. Coordinates delivery of electives, providing support in preparing elective scheduling, simulation, supplies, materials, and any other activities requested. Instructs students on education policies, as necessary. Develops, implements, and supervises the School of Medicine housing program for Fort Cavazos and Joint Base San Antonio. Identifies student housing needs and secures housing prior to each elective rotation at Fort Cavazos or Joint Base San Antonio.

Administrative Support : Serves as the principle administrative support for the School of Medicine’s DoD Sites at Fort Cavazos and Joint Base San Antonio, as well as for the Military Medicine Program. Conducts and coordinates clerical and day-to-day administrative support activities which are required for the School of Medicine students to participate in electives in DoD facilities. Coordinates, monitors, and assists in providing solutions to recurring or unusual administrative problems in DoD facilities and for the Military Medicine Program. Coordinates the maintenance and retention of the School of Medicine reference materials. Plans and coordinates logistical and administrative support for events and meetings hosted at Fort Cavazos or Joint Base San Antonio by the School of Medicine leadership and for the Military Medicine Program. Serves as a liaison for program equipment, purchase orders and requisitions, analysis, and coordination with business office and or accounting personnel.

Policies and Procedures : Serves as liaison between students, faculty, elective directors, and coordinators. Maintains a thorough understanding and knowledge of Undergraduate Medical Education (UME) policies, procedures, and student handbook guidelines. Assists is carrying out the School of Medicine’s policies and procedures. Follows established communication channels regarding Student and Faculty inquiries and issues. Completes all TAMU, HSC, and School of Medicine training requirements in a timely manner. May supervise students or office staff as the program grows. Perform other duties as assigned.
