Full Job Description

About Wetlands Incorporated

Wetlands Incorporated is a landscape and site construction contractor serving New Jersey, New York, and Pennsylvania. Our work includes public works, DOT, parks, streetscape, resiliency, environmental restoration, planting, drainage, grading, hardscape, concrete, asphalt, and site improvement projects.

We are looking for a Project Manager, preferably in heavy civil, site work, public works, DOT, landscape construction, or infrastructure projects. This is not an administrative project manager role. The right candidate must understand construction drawings, specifications, field coordination, subcontractors, vendors, schedules, change orders, submittals, RFIs, billing, and closeout.

Position Summary

The Project Manager is responsible for managing assigned construction projects from start to closeout to ensure they are completed safely, on time, within budget, and in accordance with contract documents, specifications, and Wetlands company policies.

This role requires daily coordination between the office, field crews, superintendents, vendors, subcontractors, trucking companies, suppliers, general contractors, owners, engineers, inspectors, and public agencies.

Candidates must be comfortable working in a fast-paced construction environment and must be able to support field operations, solve problems, track costs, manage documentation, and keep projects moving.

Required Construction Experience

Applicants must have experience in one or more of the following areas:

Heavy civil construction
Site work
Public works construction
DOT or municipal projects
Landscape construction
Parks and streetscape projects
Drainage, grading, utilities, concrete, asphalt, hardscape, or restoration work
Union or prevailing wage construction projects
Commercial construction with strong field coordination experience

Key ResponsibilitiesProject Management

Manage assigned construction projects through all phases, including pre-construction, active construction, punch list, and closeout.
Review contracts, plans, specifications, addenda, estimates, scopes of work, schedules, and project requirements.
Ensure compliance with scope, specifications, contract requirements, safety requirements, and company standards.
Attend and lead jobsite meetings, including pre-construction meetings, progress meetings, coordination meetings, and closeout meetings.
Coordinate with general contractors, owners, engineers, inspectors, public agencies, subcontractors, vendors, suppliers, and internal teams.
Manage punch lists, walkthroughs, final inspections, as-builts, warranties, and closeout documentation.
Identify project risks early and communicate issues that may affect schedule, cost, production, or profitability.

Submittals, RFIs, and Material Management

Review project specifications and prepare required submittals.
Create and maintain submittal logs for assigned projects.
Identify required materials per project specifications.
Gather cut sheets, certifications, SDS sheets, test reports, product data, samples, plant lists, and material qualifications.
Propose approved alternates when specified materials are unavailable.
Create plant lists, product lists, and material tracking logs for assigned projects.
Prepare and track RFIs, RFDs, and other project correspondence.
Maintain organized project documentation for approvals, materials, certifications, and closeout.

Procurement and Purchasing

Obtain quotes from vendors, suppliers, subcontractors, and trucking companies.
Prepare purchase orders and ensure proper approvals before purchasing.
Track committed costs, spending limits, and project budgets.
Coordinate material deliveries, pickups, trucking, equipment needs, and vendor schedules.
Confirm delivered materials match purchase orders, specifications, quantities, and approved submittals.
Maintain tax exemption forms, vendor acknowledgements, delivery tickets, packing slips, and purchasing documentation.
Maintain awareness of yard stock and available materials related to assigned projects.

Field Coordination and Crew Support

Coordinate with superintendents, foremen, and field crews to support daily production.
Explain drawings, scope, project requirements, and daily priorities to field teams.
Ensure crews have the drawings, materials, equipment, information, and support needed to perform the work.
Prepare material packages, drawing packages, paperwork packages, and project information for crews.
Print and distribute drawings, sketches, submittals, and specifications as needed.
Monitor field progress and communicate delays, conflicts, missing information, or material issues.
Support daily safety huddles, PPE compliance, and Tuesday toolbox talks.
Assist with mark-outs, utility coordination, site access, deliveries, and jobsite logistics.

Scheduling, Cost Tracking, and Change Orders

Assist with project schedules and look-ahead planning.
Track labor, equipment, materials, subcontractors, trucking, and committed costs.
Identify extra work, changed conditions, delays, and scope gaps.
Prepare, track, and follow up on change orders, extra work tickets, T&M work, and backup documentation.
Maintain accurate records of field issues, daily impacts, and project changes.
Communicate budget, schedule, and production concerns to the Senior Project Manager and company leadership.

Billing, Reporting, and Closeout

Prepare pencil requisitions and assist with monthly billing.
Input billing items, project updates, and required documentation into Asana or other company systems.
Track project documentation, including material certifications, delivery tickets, closeout documents, warranties, as-builts, and final approvals.
Assist with certified payroll coordination, agency paperwork, maintenance reports, and project reporting as required.
Manage project closeout from punch list through final payment.

Meetings and Communication

Participate in office project manager meetings and specification review meetings.
Communicate regularly with general contractors, owners, engineers, vendors, subcontractors, field crews, and internal team members.
Maintain accurate and timely documentation.
Provide regular updates to the Senior Project Manager regarding project status, schedule, costs, risks, change orders, billing, and closeout.

Project Manager Team Member Responsibilities

Assist the Senior Project Manager or Angelo on larger or shared projects.
Meet with the Senior Project Manager at the start of team projects to clarify responsibilities, priorities, and expectations.
Meet regularly with the Senior Project Manager to review progress, challenges, project needs, change orders, billing, and closeout items.
Follow company project management procedures and help maintain consistency across all assigned projects.

Qualifications

Minimum 3 to 5 years of construction project management experience required.
Heavy civil, site work, landscape construction, DOT, public works, municipal, parks, streetscape, or infrastructure experience strongly preferred.
Strong understanding of construction drawings, specifications, submittals, RFIs, change orders, schedules, and closeout requirements.
Ability to manage multiple active construction projects and priorities at the same time.
Ability to communicate effectively with field crews, superintendents, vendors, subcontractors, general contractors, engineers, inspectors, and public agencies.
Strong organization, follow-up, documentation, and problem-solving skills.
Ability to read plans, identify scope, understand quantities, and support field execution.
Experience with Asana, Microsoft Office, project management software, or similar systems is a plus.
Valid driver’s license required.
OSHA 30 preferred.
