Full Job Description

Finmarc Management is a fully integrated commercial real estate company that focuses on the investment, management, leasing and development of retail, industrial/flex, and office buildings throughout the Mid-Atlantic region. We currently manage nearly 7.0 million square feet of commercial real estate assets, about 75% owned and 25% third party. The company culture is a close-knit, team-oriented group of dedicated professionals who take great personal pride in delivering peak performance in each of their respective roles in a relatively relaxed atmosphere.

General Description:

The Assistant Property Manager (APM) will report to the Director of Property Operations. (S)he will work closely with and support Property Managers and/or Senior Property Managers. In this role, the APM is responsible for the timely completion and resolution of day-to-day operational issues, regularly interfacing with tenants and vendors, and ensuring consistent curb appeal at assigned properties. (S)he will serve as a tenant liaison in the building or at the property, maintaining a high level of tenant satisfaction. The APM must establish excellent working relationships with other internal customers, such as Accounts Payable, Accounts Receivable, Lease Administration, Construction, and other members of the Property Management Division.

Key Responsibilities

Processing Invoices:

· Process and code property management invoices that are not on the AP Checklist.

· Maintain the AP checklist to ensure all notes are current and monthly amounts have been inserted for all utilities listed for assigned properties.

Tenant Billbacks:

· Prepare a list of recurring monthly bill backs for assigned properties to include utility billbacks and any other recurring tenant billable expenses. Update as necessary.

· Prepare non-recurring tenant billable invoices and submit ARA (Accounts Receivable Adjustment) form to get the charge posted to tenants' accounts.

Monthly Owner Reports:

· Prepare back up documentation for owner reports as required for assigned properties.

· Save each report as a PDF for assigned properties by the instructed deadline.

· Consolidate PDF packages to send to Owners.

· Assist Property Managers with correcting edits to reports before finalizing and distributing.

Collections/Accounts Receivable:

· Assist Senior Manager of Collections by processing letters of default.

Service Contracts/Bid Analyses:

· Prepare, maintain, and update a contract summary sheet for each property, which should include start and end dates, monthly amounts, contact information.

· Prompt Property Managers ninety (90) days in advance of contract expiration dates for continuity or termination of service.

· Assist Property Managers as requested, including but not limited to preparing standard Finmarc contracts.

Utility Account Changes:

· Place the utility account into and out of ownership name, tracking to completion.

· Send utility invoices to EMS and other third-party account vendors as needed.

· Assist in tracking receipt of deposits, recording on AP checklist.

Tenant Move-In/Move Out:

· Assist Property Managers as required to complete move-in and move-out checklists for lease files and Lease Administration, including attending orientation meetings to review tenant welcome packages, move-in/move-out requirements, rules and regulations.

· Ensure required certificates of insurance from the tenants have been reviewed by the Office Coordinator and submitted to the Property Manager or Assistant Property Manager.

-Review sign packages from tenants moving in with oversight from the Property Manager.

· Create/Maintain a current contact list with tenant name, telephone number and email address for all properties assigned.

Tenant Email Distribution Lists:

· Maintain up to date email addresses for each tenant. Addresses are used for tenant memo and notice distribution. Create group lists in Outlook as needed.

Public Contacts Lists:

· Update vendor lists with emergency contact name and numbers as needed. All changes should be approved by the Property Manager.

Property Files:

· All property filing must be completed weekly and saved to either the Property or the Property Management drive, including but not limited to sensitive emails, letters, proposals, contracts, Tenant Improvement documents, etc.

· Property files relating to life-safety measures, such as fire alarm and sprinkler inspections and maintenance, must include complete contracts, testing and inspection reports, required repair contracts, and other necessary work tickets.

· Other files to be maintained include but are not limited to: Trash Removal; Sweeping; Landscaping; Security; Parking Lot; Snow Removal; Pest Control; Zoning/Permits; Occupancy Permits; and other related operational files.

Property Utilities Benchmarking:

· Track and set reminders for benchmarking tasks depending on jurisdiction:

Property Cameras:

Coordinate installation and maintenance at all properties assigned. Distribute weekly camera updates every Friday to the Property Manager and the Director of Property Operations.

Operational and Adminstrative Responsibilities:

· Working closely with Property Managers:

Provide direct communication with and assistance to tenants, attend meetings as directed, and follow up on assigned tasks. Regularly inform the Property Manager of topics discussed and action items to be addressed.
Respond directly and immediately to property-related issues.
Manage and facilitate the execution of tenant work order requests with building staff or outside vendors to completion in a timely manner.
Assist with development of RFPs and execution of contracts.
Assist with the preparation of budgets and the reporting of budget variances.
Manage tenant utility meter readings and ensure accurate and timely invoicing.
Attend or independently conduct property inspections, including tenant spaces, common areas, base building areas and grounds to ensure proper maintenance.
Participate in tenant improvement/construction meetings.
Work with the Asset Management/Leasing teams to facilitate showings, ensure that vacancies are in showable condition, and respond to operational questions from leasing representatives.
Support Property Manager with acquisitions and dispositions administrative tasks as assigned.
Track and schedule testing for fire alarms, fire drills, sprinklers, fire extinguishers, elevators, HVAC, other preventive maintenance.

Requirements and Qualifications

· 2 – 5 years of property management experience preferred

· Working knowledge and understanding of operating costs, budgeting, and related expense control preferred

· Demonstrated proficiency with Microsoft Office applications.

· Working experience with Yardi preferred

· Familiarity with ADA and OSHA preferred.

· Excellent verbal and written communications skills

· Excellent interpersonal skills

· Demonstrated ability to respond to and resourcefully manage multiple tasks and situations.

· Deadline-focused work ethic with ability to work under pressure.

· Maintain inventory of file room for items such as off-site files and building/tenant plans.

· Perform other administrative tasks as required or assigned.

Pay: $75,000.00 - $90,000.00 per year
