Full Job Description

Position Summary

Reliable Services is seeking a detail-oriented Administrative Coordinator to provide administrative support to the Accounting Department. This position is responsible for data entry, document management, customer and vendor correspondence, mailing, maintaining records, and assisting with Accounts Payable and Accounts Receivable processes.

This is not an accounting position. We are looking for an organized individual with strong administrative and computer skills who enjoys working in a fast-paced office environment.

Essential Duties and Responsibilities

Perform accurate data entry into accounting and company systems.
Assist with Accounts Payable and Accounts Receivable administrative tasks.
Email invoices, statements, supporting documentation, and other correspondence to customers and vendors.
Process incoming and outgoing mail and packages.
Scan, organize, and electronically file documents.
Maintain electronic and paper filing systems.
Update and maintain Excel spreadsheets and tracking logs.
Verify invoices and supporting documentation for completeness.
Assist with payment processing and customer account inquiries.
Answer and direct accounting-related phone calls and emails.
Support month-end administrative activities.
Maintain confidentiality of company financial information.
Perform other administrative duties as assigned by the Controller.

Qualifications

High school diploma or equivalent required.
Previous administrative, clerical, or office support experience preferred.
Strong Microsoft Excel, Outlook, and Word skills.
Excellent computer and data entry skills.
Strong attention to detail and organizational abilities.
Ability to prioritize multiple tasks and meet deadlines.
Professional communication skills.
Ability to work independently and as part of a team.

Preferred Qualifications

Experience in an accounting office or Accounts Payable/Accounts Receivable environment.
Experience with Sage Intacct or similar accounting software is a plus.
