We are seeking a candidate with a minimum of two years of direct experience working in a wealth management, financial advisory, brokerage, or similar financial-services office.
Candidates with previous experience as a Branch Office Administrator, Wealth Management Client Service Associate, Financial Advisor Assistant, Registered Client Service Associate, Financial Paraplanner, or similar position are strongly encouraged to apply.
The Position
Epic Private Wealth is seeking an experienced Branch Office Administrator to serve as a key client-service and operational partner within our Wealth Management division.
This individual will take a lead role in the delivery of client service while supporting Financial Advisors and helping manage the daily operations of our Richland Wealth Management office.
The position combines client relationship management, Financial Advisor support, account administration, client review coordination, CRM management, RIA compliance support, office operations, and client events.

Primary Responsibilities
Client Relationship & Advisor Support
- Serve as a primary client-service contact for Financial Advisors.
- Provide professional service through phone, email, digital communication, and in-person interactions.
- Build and maintain strong relationships with clients.
- Coordinate appointments, annual reviews, follow-up calls, and ongoing client-service activities.
- Prepare Advisors for meetings by organizing reports, account information, documentation, and meeting materials.
- Prepare professional correspondence, meeting notes, and client communications.
- Track commitments and follow-up items resulting from client meetings.
- Assist clients with online account access and approved digital resources.
- Recognize client situations requiring Advisor attention and coordinate appropriate follow-up.
Account Administration & Transactions
- Prepare and process documentation for new accounts and existing account maintenance.
- Assist with account transfers, deposits, distributions, beneficiary changes, and other authorized account requests.
- Track outstanding documents, signatures, and client information.
- Maintain confidential financial, estate, trust, beneficiary, and insurance documentation.
- Assist with life insurance applications, documentation, and premium maintenance when applicable.
- Coordinate account-related requests with Advisors, internal team members, custodians, and other approved financial-services partners.
- Provide notary services when commissioned and appropriate.
Client Reviews & Service Management
- Maintain Financial Advisor client-review schedules.
- Proactively schedule annual and periodic client reviews.
- Prepare required information and documentation before meetings.
- Track completed reviews and required follow-up.
- Monitor outstanding client-service requests through completion.
- Help ensure clients receive consistent communication and service throughout the year.
CRM & Documentation
- Maintain accurate client information within the firm's CRM and Wealth Management systems.
- Document client communications, meeting notes, tasks, and service activities.
- Create, assign, monitor, and complete appropriate follow-up tasks.
- Maintain accurate electronic client files.
- Follow established CRM workflows and client-service processes.
- Help maintain complete and accurate records in accordance with firm policies and applicable requirements.
New Client Onboarding
- Coordinate the administrative onboarding of new Wealth Management clients.
- Prepare account-opening documentation and introductory materials.
- Track signatures, account transfers, required documents, and outstanding items.
- Assist new clients with establishing online account access.
- Coordinate with Financial Advisors and other team members throughout the onboarding process.
- Provide an organized, welcoming, and professional introduction to Epic Private Wealth.
Branch & Office Operations
- Take an active role in maintaining an organized, professional, and client-ready Wealth Management office.
- Coordinate incoming client documents, mail, deliveries, and administrative requests.
- Support Financial Advisors with daily administrative and operational needs.
- Maintain appropriate office and client-service supplies.
- Coordinate operational needs with Epic's Business Operations team.
- Assist with maintaining and improving office procedures and standard operating processes.
Client Events & Community Engagement
- Help plan and execute client appreciation events, educational workshops, seminars, and community activities.
- Coordinate invitations, attendance, scheduling, materials, and event logistics.
- Work with Financial Advisors and Marketing on client-facing events and communications.
- Help create experiences that strengthen long-term client relationships.
Wealth Management Compliance & Operational Support
- Support the Wealth Management team in following established operational and RIA compliance procedures.
- Ensure client documentation, account requests, transactions, and communications are handled according to established policies and procedures.
- Maintain complete and accurate client records and required documentation.
- Coordinate with RIA compliance and operational resources when additional documentation, review, or approval is required.
- Protect confidential client information and follow established privacy, cybersecurity, recordkeeping, and communication requirements.
- Assist with compliance-related administrative requests and documentation reviews as appropriate.
- Complete required firm and regulatory training.
- Perform only those activities authorized by the employee's role, registrations, licenses, professional designations, and firm policies.
Regulatory supervision and compliance oversight remain the responsibility of the firm's designated supervisory and compliance professionals.
Qualifications
Required:
- Minimum 2 years of direct wealth management, financial advisory, brokerage, or comparable financial-services experience.
- Experience supporting Financial Advisors and servicing client relationships.
- Working knowledge of financial-services account administration and workflows.
- Experience handling confidential financial and client information.
- Strong organizational skills and exceptional attention to detail.
- Excellent written and verbal communication skills.
- Ability to independently manage multiple priorities and deadlines.
- Strong computer and technology skills.
- Professionalism, discretion, integrity, and commitment to confidentiality.
Preferred:
- Previous experience as a Branch Office Administrator or Financial Advisor support professional.
- Experience with Redtail or comparable financial services CRM.
- Experience with MoneyGuide or other financial-planning software.
- Experience with an RIA such as Cetera, Adviceworks or Advantax.
- Notary commission or willingness to obtain one.
- Bachelor's degree or equivalent professional experience.
Licenses & Professional Designations
Financial-services registrations, licenses, and professional designations are strongly preferred and may qualify candidates for expanded responsibilities and additional compensation.

Compensation & Benefits
Starting minimum wage: $28.50 per hour
Starting compensation may be higher based on directly relevant wealth management experience, securities registrations, insurance licenses, and professional designations.
