Job Description:
We are currently seeking a highly organized and detail-oriented individual to join our team as HVAC Service Coordinator. In this role, you will be responsible for overseeing the successful completion of service calls, projects and maintenance agreements. This is an in-person position based in Anaheim, CA.
Responsibilities:
- Schedule appointments and maintain calendars for company personnel, including technicians and sales representatives.
- Coordinate and schedule service calls, installations, and repairs for HVAC systems, ensuring efficient allocation of resources and timely completion of work orders.
- Communicate effectively with clients, technicians, and other team members to ensure accurate scheduling and timely resolution of any issues or conflicts.
- Maintain accurate records of appointments, work orders, and client interactions in the company's scheduling software.
- Delegating tasks to appropriate team members.
- Managing deadlines and progress across the team to ensure the project is delivered on time and on budget.
- Organizing third-party vendors required to complete the project (Crane Service, Eddie Current Testing, Water Treatment etc…).
- Collaborate with team members to streamline scheduling processes and identify opportunities for improvement.
- Maintain confidentiality and handle sensitive information with discretion.
Requirements:
- High school diploma or equivalent; additional certifications or vocational training in office administration or related field is a plus.
- Must have proven experience in HVAC scheduling.
- Strong organizational and time-management skills with exceptional attention to detail.
- Excellent verbal and written communication skills.
- Proficient computer skills, including experience with scheduling software, database management, and Microsoft Office Suite.
- Ability to prioritize tasks, multitask, and meet deadlines in a fast-paced environment.
- Strong problem-solving skills and the ability to adapt to changing circumstances.
- Professional and courteous demeanor with the ability to work well in a team.
