Our client is seeking a detail-oriented and organized Administrative Assistant II to provide administrative support to the Housing Choice department. This role is ideal for someone who enjoys working in a fast-paced office environment, managing multiple priorities, and providing exceptional customer service to both internal and external stakeholders.
The Administrative Assistant II will support the department manager with daily administrative operations, coordinate meetings and projects, maintain records and reports, and assist with office and departmental activities.
- Provide administrative support to the department manager and team.
- Manage calendars, schedule meetings, appointments, and travel arrangements as needed.
- Prepare, proofread, and distribute correspondence, reports, and other documents.
- Maintain both electronic and paper filing systems.
- Research, gather, and organize information for reports and special projects.
- Track office supply inventory and coordinate purchases in accordance with company policies.
- Assist with monitoring departmental expenditures and reconciling purchases.
- Answer phones, greet visitors, and direct inquiries to the appropriate staff.
- Coordinate departmental meetings, training sessions, and special events, including room reservations, agendas, catering, and logistics.
- Maintain departmental databases and assist with website updates.
- Perform other administrative duties as assigned.
- High school diploma or equivalent required.
- Some college coursework is preferred.
- Previous administrative or office support experience is required.
- Proficiency with Microsoft Office, including Word, Excel, Outlook, and other office software.
- Strong written and verbal communication skills.
- Excellent organizational and time management skills.
- Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
- Strong customer service and interpersonal skills.
- Ability to maintain confidentiality and exercise sound judgment.
- Comfortable interacting with employees, management, and the public.
- Experience supporting a department or manager in an administrative capacity.
- Experience maintaining databases, records, and departmental documentation.
- Familiarity with financial tracking, purchasing, or expense reconciliation.
