WORKFORCE DEVELOPMENT PROGRAM COORDINATOR
Job Summary:
This position is responsible for coordinating the scheduling, recruitment, enrollment, and delivery of Island Harvest’s Workforce Skills Development Institute programs, while also managing program performance metrics, KPIs, and outcome reporting. Success in this role requires the ability to effectively balance classroom-based student support with external outreach activities.
Primary Duties & Responsibilities:
- Create and manage the program’s annual calendar, including cohort start dates, recruitment periods, Department of Labor registration deadlines, and graduation dates.
- Create and manage detailed hourly schedules for each cohort, including instructor scheduling, contracting, and sourcing, while coordinating instructional content to ensure alignment with program hour requirements, curriculum standards, and certification expectations.
- Develop and manage a year-round recruitment pipeline by coordinating outreach activities, creating and distributing marketing materials, scheduling and conducting information sessions and community presentations, administering assessments, and overseeing the application and interview process to attract and identify qualified candidates for each training cohort.
- Manage all aspects of student enrollment and onboarding, including candidate communications; acceptance, denial, and waitlist notifications; coordination of Accepted Students Day; and maintenance of student records.
- Ensure the timely ordering and distribution of books, supplies, and training materials to support a seamless and successful student experience.
- Maintain accurate and up-to-date program data (e.g., recruitment, enrollment, completion, and credential attainment statistics); prepare reports, dashboards, and KPI tracking tools; and monitor program performance metrics to support decision-making, grant compliance, and continuous program improvement.
- Coordinate field trips, employer visits, and other partner engagement activities.
- Manage student communications related to delayed openings, schedule changes, and program closures, and oversee the maintenance of attendance records and student evaluations.
- Manage instructor and vendor contracts, invoices, and payments.
- Oversee the graduation process from start to finish for each cohort, including developing the agenda, securing speakers, managing invitations, coordinating credentials, certificates, and government citations, ordering refreshments, and arranging event support to ensure a seamless and well-organized experience.
- Serve as the primary point of contact and relationship manager for recruiting partners, including workforce agencies, community-based and human service organizations, Department of Labor career centers, employers, instructors, and vendors.
Job Qualifications:
- Bachelor’s degree in business, communications or a related field of study, or equivalent work experience.
- Minimum of two (2) years of demonstrated experience working in training/ workforce/professional development programs or student-facing initiatives and supporting in-person and/or virtual programs and events.
- Must possess a valid driver’s license.
- Previous experience working with diverse populations, and knowledge of Long Island workforce needs.
- Proven ability to manage multiple responsibilities simultaneously while working within deadlines and applying attention to detail and accuracy.
- Proficient in computer applications (especially Microsoft Excel and PowerPoint, as well as Microsoft Outlook, Word, and the internet) and the ability to summarize and present data in a visually pleasing way.
- Energetic and highly engaged work demeanor including excitement for working in a team and contributing to a noteworthy student experience in a highly relationship-centered workforce training environment
- Bi-lingual in English and Spanish is a plus.
Physical Requirements & Work Conditions
Incumbents in this role must be available to work Monday through Friday during standard business hours. While the position is primarily office-based within a training and educational environment, the successful candidate must also be comfortable supporting indoor and occasional outdoor events, as well as activities within a warehouse setting. Moderate regional travel may be required to attend meetings, partner events, and other program-related activities.
Salary: $60,000.00-$65,000.00/year
