Job Summary
The Staff Accountant ensures fiscal integrity, regulatory compliance, and smooth financial operations to support Mainspring Schools' mission of delivering high-quality early childhood education and family support services. This role manages day-to-day bookkeeping, reconciliations, grant tracking, and financial reporting, directly assisting leadership in maximizing resources to help families break the cycle of poverty.
Duties
Financial Operations & Bookkeeping
● Manage all day-to-day accounting transactions including Accounts Payable (AP) and Accounts Receivable (AR).
● Reconcile general ledger accounts, bank statements, and credit card expenses monthly.
● Process bi-weekly payroll and track employee benefits allocations accurately.
● Execute precise month-end and year-end closing processes according to schedule.
Grant Compliance & Restricted Funds
● Assist in tracking and monitoring expenditures for state, federal (such as Early Head Start), and private foundation grants.
● Calculate and prepare timely expenditure reimbursement requests for grant funds.
● Analyze fund use monthly to verify exact alignment with benefactor and grant intent.
Reporting & Budgeting
● Prepare timely financial statements, balance sheets, and profit/loss statements for board reviews.
● Collaborate with leadership to build, monitor, and adjust the school’s annual operating budget.
Audit & Compliance
● Maintain clean financial records and clear audit trails to meet GAAP standards.
● Compile and organize documentation to support the preparation of annual non-profit tax filings (Form 990).
● Assist executive director in providing necessary technical data for annual external audits.
Skills
● Strong knowledge of GAAP requirements and internal control procedures.
● Advanced proficiency in accounting systems (e.g., QuickBooks Non-Profit) and Microsoft Excel.
● High level of discretion and integrity when handling sensitive employee or financial information.
● Excellent written communication skills and the ability to explain financial data clearly to non-financial team members.

- Ability to handle confidential information discreetly while maintaining high levels of integrity and professionalism.
● Education & Experience
Bachelor’s degree in Accounting, Finance, or a related field.
● 2 to 4 years of professional accounting experience.
● Experience with non-profit accounting (fund accounting) or school-district settings is highly preferred.
