Position Summary
We're seeking a detail-oriented, trustworthy individual to fill a key administrative role supporting our finance, HR, and day-to-day office operations. This is a hands-on, multi-disciplinary position responsible for payroll, accounts payable, benefits administration, employee relations, and general office coordination. The role works closely with our corporate Controller on financial matters and reporting. It is well suited to someone who is organized, discreet with confidential information, and comfortable wearing multiple hats in a small-company environment. The current role-holder is retiring, and we'll provide a transition/overlap period to ensure a smooth handoff.
Key Responsibilities
Payroll & Bookkeeping
- Process payroll on a regular cycle, including timekeeping, attendance, and PTO tracking
- Enter and code vendor invoices; serve as the primary point of contact for vendors on billing and payment questions
- Maintain accurate records in the company's ERP system (Global Shop Solutions)
- Prepare and file routine compliance reports (sales tax, state filings, census, etc.)
- Partner with the corporate Controller on bookkeeping, reconciliations, and month-end close
Human Resources
- Administer employee benefits, including enrollment, 401(k), and insurance
- Manage new-hire onboarding and required paperwork (I-9, W-4, etc.)
- Maintain employee files and the employee handbook
- Serve as a first point of contact for employee relations matters and help resolve workplace disputes
Purchasing & Office Administration
- Order shop and facility supplies (PPE such as gloves, housekeeping/janitorial items, office supplies, and equipment)
- Handle reception duties — answering phones, greeting visitors, and managing incoming/outgoing mail
- Provide general administrative support to leadership as needed
Qualifications
- 3+ years of experience in bookkeeping, payroll, HR administration, or a comparable office role
- Working knowledge of payroll processing and basic accounting principles
- Familiarity with HR practices and employment compliance (experience with benefits and onboarding a plus)
- Proficiency with Microsoft Office; experience with an ERP or accounting system preferred
- Strong organizational skills and attention to detail
- Discretion and sound judgment in handling confidential and sensitive information
- Excellent interpersonal and communication skills
- Manufacturing or small-business environment experience a plus
- Bachelor's degree preferred (accounting, business administration, finance, or human resources); equivalent experience considered in lieu of a degree
