Responsibilities
- Greet visitors, clients, and vendors warmly, ensuring they feel welcomed and attended to promptly
- Answer multi-line phone systems with professionalism, providing accurate information or directing calls appropriately
- Manage appointment scheduling and calendar coordination using productivity software such as Microsoft Office and Google Workspace
- Perform data entry, filing, and proofreading tasks to maintain accurate records and documentation
- Support office management duties including supply inventory, document organization, and basic bookkeeping using QuickBooks or similar tools
- Maintain a clean, organized front desk area while adhering to office policies and procedures
- Provide excellent customer support by addressing inquiries efficiently and courteously, demonstrating strong phone etiquette and interpersonal skills
Experience
- Prior office experience or administrative support roles preferred, including front desk or receptionist positions in medical or dental settings
- Proven proficiency with computer literacy including Microsoft Office Suite, Google Workspace, data entry, and productivity software
- Experience handling multi-line phone systems and managing calendar or appointment scheduling
- Bilingual abilities are a plus to serve diverse client needs effectively
- Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
- Clerical experience involving filing, proofreading, and customer service is highly valued
- Personal assistant or medical receptionist experience is advantageous for understanding specialized workflows such as calendar management or patient communication
