Front Desk Administrator

Summary: Under the general direction of the dentist, receive incoming patients and perform duties supporting patient scheduling, answering phone calls, calculating and collecting patient portions for Associates in Periodontics.
Essential Duties and Responsibilities: the following are illustrative of the primary functions of the position, but are not intended to be all-inclusive.
Opening the office by unlocking doors, printing and distributing the day’s schedule, and preparing the office for the day. Checking all telephone and email messages, updating the schedule as needed, and handling messages to appropriate personnel.
Receiving Patients: Welcome and check-in patients, confirm and ensure all patient information is complete, secure copy of insurance cards, routinely update patient record for HIPPA and financial agreements. Familiarize new patients with the facility.
Dental Insurance: Work with eAssist dental solutions company to accomplish patient billing and collection from various dental insurance companies in network with the dentist. Duty is to learn to calculate patient portions due at treatment appointment, collect and input patient fees correctly in to patient chart.
Telephone Calls: Answer incoming phone calls in a courteous and prompt manner. Process requests either by scheduling as appropriate or referring to others to handle the inquiry. Follow up on unscheduled recalls to ensure patients are not overlooked.
Collections and Documentation: collect payments and ensure to accurately record transactions in patient accounts, and processing paperwork for documentation of treatments and records.
Hospitality: Maintain orderliness on the front desk, bathrooms, and reception area. Provide coffee or drinking water for waiting patients. Provide available periodicals as requested by waiting patients.
Patient Confirmations: Maintain our electronic system for patient confirmations, and follow up when required. Ensure all appointment commitments are confirmed 2 weeks in advance, with reminder 2 days prior to appointment.
Misc Tasks: Receive mail and packages, and distribute to designated persons. Maintain proper supply of administrative forms. Prepare documents and mail doctor correspondence, as well as assisting the Insurance Coordinator with statements and other scanning as time enables. Assist others when able and needed.
Closing Responsibilities: At the end of the day, turn off the lights, lock the doors, shut down computers, and tidy up the reception area prior to departing.

Knowledge and Skills:
* Working in a caring and compassionate manner.
* Knowledgeable in dental terminology.
*Have excellent verbal and written communication skills; must be able to present information in a clear, accurate, and understandable manner.
* Demonstrate excellent ability in customer relations.
* Ability to interact effectively with the patients and staff.
* Knowledge and ability to use PC software, learn to use dental SoftDent, use MS Word and Excel. This requires key boarding and basic math skills.
* Excellent telephone etiquette with the ability to multi-task.
* Aptitude for developing in professional growth with working knowledge of dental terminology, and periodontic procedures.
* Successful attainment of High School diploma.
Physical Demands: When performing the essential duties of this job, the employee is regularly required to:

* Reach and handle items weighing up to 25 lbs
* Occasionally climb, balance, stoop, kneel, carry, and crouch
