Responsibilities
- Greet customers and visitors warmly, in person and over the phone
- Schedule and confirm customer appointments for policy reviews and meetings
- Process incoming mail, scan and file documents, and maintain organized digital and physical records
- Enter and update customer information accurately in CRM systems
- Support the team with basic policy service tasks that don't require a license (e.g., payments, billing questions, address or contact updates, document requests)
- Prepare routine correspondence, follow-up letters, and customer communications
- Maintain office supplies, equipment, and a clean, professional office environment
- Support marketing and community outreach efforts as needed (outbound marketing calls, event prep, mailers, social media assistance)
- Other administrative duties as assigned by the agency owner
Qualifications
- Proven experience in an office environment with clerical or administrative responsibilities
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), CRM, and data entry skills
- Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
- Exceptional communication skills, including phone etiquette
- Experience with front desk operations, multi-line phone systems, filing, proofreading, and customer-facing support
- College-work or completion is preferred
- Reliable, punctual, and able to work independently with minimal supervision
- Demonstrated ability to handle confidential information discreetly while maintaining professionalism at all times
