Job Overview
We are seeking a dynamic, highly organized Executive Assistant to support the Executive Director of Amador Wine Country. In this key role, you will act as the administrative anchor of our office, managing daily operational tasks, coordinating vendor quotes for major regional events, and overseeing membership billing and collections. Your proactive approach, attention to financial detail, and proficiency in cloud collaboration tools will empower the Executive Director to focus on strategic initiatives while you keep association operations running seamlessly.
Responsibilities
- Manage calendars, and schedule appointments with precision and efficiency.
- Handle incoming calls using multi-line phone systems, demonstrating excellent phone etiquette and customer service skills.
- Prepare, edit, and organize documents using Google suite, including Google Docs, Sheets, Forms, Slides, Drive, and more.
- Maintain filing systems, both electronic and paper-based, ensuring easy access and confidentiality of sensitive information.
- Assist with office management tasks such as supply ordering, equipment maintenance, and general administrative support.
- Provide exceptional client communication and customer support through front desk duties and email correspondence.
- Support data entry projects with accuracy and attention to detail while managing multiple priorities efficiently.
- Provide back-end administrative and logistical support to the Executive Director during major regional marketing events and trade programs.
- Request, collect, and organize competitive quotes from event vendors (caterers, rentals, shuttle services, print shops, and musicians) for major regional
Qualifications
- Proven experience as an Executive Assistant or in a similar administrative role with office management responsibilities.
- Strong computer literacy with proficiency in Google Workspace/Microsoft Office (Word, Excel), productivity software, and data entry tools.
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
- Exceptional written and verbal communication skills.
- Experience handling multi-line phone systems and demonstrating professional phone etiquette.
- Demonstrated ability to manage calendars and schedule meetings.
- Clerical experience including filing, document preparation, and record keeping.
- Strong customer service orientation with the ability to support customers professionally at the front desk, via phone, and email communication.
- Technical proficiency in office equipment such as printers, scanners, and office management tools.
