Job Summary
We are seeking a dedicated and knowledgeable Leave of Absence (LOA) Specialist to join our Human Resources team. This role is essential in managing employee leave programs, ensuring compliance with federal and state regulations, and supporting employees throughout their leave processes. The ideal candidate will possess a strong understanding of leave policies, employment law, and HRIS systems, contributing to a positive employee experience while maintaining operational efficiency. Duties
- Manage high-volume Leave of Absence (LOA) programs across multiple locations, overseeing the full leave lifecycle, HRIS data, payroll integration, and strict compliance with state and federal laws.
- Full-Cycle LOA Management: Oversee all leave requests from initiation to resolution, including document verification, return-to-work, and fitness-for-duty processes.
- Interactive Process: Conduct and document formal interactive process meetings with employees to assess leave needs and medical requirements.
- Compliance & Confidentiality: Ensure all practices comply with HIPAA and state/federal leave laws (FMLA, CFRA, PFL, ADA, PDL).
- Consultation: Act as the primary subject matter expert, educating and advising management and employees on leave policies, eligibility, and related attendance issues.
- Systems & Payroll: Process LOA actions, calculate pay portions, and apply pay practices using Kronos and Oracle (HRIS) in coordination with payroll and benefits.
- Analytics & Auditing: Track leave metrics, conduct regular compliance audits, and generate utilization reports to improve processes.
Must Have:
- Must have at least 3+ years of Leave of Absence (LOA) administration experience managing cases independently.
- Must have strong knowledge of FMLA, CFRA, ADA, PDL, and PFL regulations - federal and state regulations affecting employee benefit programs.
- Should have experience conducting ADA interactive process meetings and accommodation discussions.
- Must have experience managing high-volume leave cases, tracking deadlines, documentation, and employee communications.
- Experience coordinating leave pay, payroll impacts, and benefits administration is highly preferred.
- Oracle HRIS, Kronos/ UKG, or similar HR systems experience is important but not must.
- Avoid general HR Generalists unless they have substantial hands-on LOA administration experience.
