About this Position:
The Eric Leadbetter Team is seeking a confident, persistent and highly organized Lead Conversion & Follow Up Manager to take ownership of our incoming real estate leads and sales pipeline.
This is not a traditional administrative position, virtual-assistant role or commission-only real estate-agent position. It is a full-time, sales-focused role for someone who enjoys speaking with people, building relationships, following up consistently and converting opportunities into appointments and clients.
You will be the first point of contact for new buyer and seller leads generated through Zillow, Realtor.com, Google, Facebook, our website, referrals and other sources. You will also proactively contact older leads in our database, identify active opportunities and connect qualified consumers with the appropriate agents on our team.
The right person will become the central owner of our lead-conversion system—ensuring that every lead receives timely, professional and persistent follow-up.
Key ResponsibilitiesNew Lead Response and Conversion
- Answer incoming calls from Zillow, Realtor.com and other lead sources.
- Contact new online leads by phone and text within five minutes whenever possible.
- Respond professionally to buyer, seller and property inquiries.
- Build rapport and conduct meaningful conversations rather than relying on rigid scripts.
- Identify each lead’s motivation, timing, location, financing status and real estate needs.
- Determine whether a lead is already represented by another real estate agent.
- Live-transfer qualified leads to available team agents whenever possible.
- Schedule buyer consultations, listing consultations, property tours and follow-up calls.
- Continue nurturing leads who are interested but not yet ready to meet with an agent.
Database and Pond Prospecting
- Proactively contact older and unresponsive leads in our database.
- Call, text and email leads using organized follow-up campaigns.
- Re-engage potential buyers, sellers, investors and past opportunities.
- Identify leads who may be planning a move within the next 3–12 months.
- Separate viable opportunities from invalid, duplicate, out-of-area or unqualified contacts.
- Maintain long-term relationships with future clients until they are ready to move forward.
- Consistently work designated Follow Up Boss Smart Lists and calling campaigns.
Follow Up Boss Management
- Maintain accurate notes, stages, tags, appointments and communication records in Follow Up Boss.
- Ensure that calls, texts and emails are completed and documented inside the system.
- Monitor new, unclaimed and untouched leads.
- Maintain organized Smart Lists, action plans and follow-up tasks.
- Review leads after they are transferred to an agent.
- Confirm that agents receive complete notes and understand the lead’s needs.
- Identify leads requiring additional follow-up or reassignment.
- Help maintain database accuracy by correcting stages, removing duplicates and updating contact information.
- Track lead performance from original inquiry through appointment, signed client and closing.
Reporting and Accountability
- Track daily calls, conversations, live transfers and appointments.
- Report on response times, contact rates and conversion results.
- Measure appointments booked versus appointments held.
- Track signed buyer agreements, listing opportunities and closings generated through lead-conversion efforts.
- Provide leadership with a clear weekly pipeline and conversion report.
- Identify patterns affecting performance by lead source, agent or follow-up process.
- Recommend improvements to scripts, workflows and Follow Up Boss systems.

Preferred Experience
Experience in one or more of the following areas is strongly preferred:
- Real estate inside sales or lead conversion
- Follow Up Boss or another customer relationship management platform
- Zillow, Realtor.com or online real estate leads
- Automotive internet sales or dealership BDC
- Mortgage, insurance or financial-services inside sales
- Apartment leasing or new-home sales
- Call-center sales, customer retention or appointment setting
Real estate experience is helpful but not required. We are willing to train an exceptional sales and customer-service professional who demonstrates the right communication skills, work ethic and aptitude for technology.
A Pennsylvania real estate license is helpful but not required.
This is a full-time position based in the Lehigh Valley. The selected candidate should expect to work primarily in the office. Because real estate leads arrive outside traditional business hours, some scheduled evening or weekend coverage may be required. The position may become eligible for limited hybrid flexibility after training and demonstrated performance.
Compensation
- Base salary of $40,000–$45,000, based on experience.
- Additional performance bonuses connected to held appointments, signed clients and closed transactions.
- Paid training on our team, systems, scripts and lead-conversion standards.
