The Office Manager is responsible for administrative operations and supporting multiple company locations. This position serves as a key business partner to Operations, Finance, Human Resources, and Senior Leadership. This person will serve as a critical liaison between field operations and company leadership. The ideal candidate will have a minimum of three (3) years of office management experience, excellent communication skills, bilingual in English and Spanish and the ability to thrive in a fast-paced field operations environment. This role requires a highly organized professional capable of supporting a large workforce of several hundred employees, managing competing priorities, and ensuring operational excellence while maintaining strict confidentiality and compliance.

Key Responsibilities:
Office Management & Operations
- Oversee day-to-day administrative operations for multiple office and field locations.
- Develop, implement, and maintain efficient office procedures, workflows, and administrative systems.
- Serve as the primary point of contact for employees, clients, vendors, utility partners, and visitors.
- Manage travel arrangements for various crews.
- Maintain company records, filing systems, permits, contracts.
- Participate in process improvement initiatives and operational efficiency projects.
- Lead or support special projects as assigned by management.
- Support senior leadership with reporting and special projects.
- Ensure office operations are efficient, organized, and aligned with company objectives.
Union & Labor Compliance Support
- Assist with administration and documentation related to union and non-union employees.
- Maintain records related to collective bargaining agreements, workforce classifications, and employee certifications.
Vendor, Purchasing & Facility Management
- Maintain vendor portals, client sites, and contractor management platforms.
- Coordinate office equipment maintenance, repairs, and facility needs.
- Oversee purchasing and inventory management of office supplies, PPE, safety equipment, and operational materials.
- Ensure timely ordering, tracking, and distribution of supplies across multiple locations.
Required Qualifications
- High school diploma or equivalent required
- 3-5 years of progressive Office Management experience required.
- Bilingual English/Spanish required.
- Experience supporting a workforce of 500+ employees.
- Intermediate proficiency in Microsoft Office Suite, including:
- Excel
- Word
- Experience creating and maintaining reports, spreadsheets, and administrative documentation.
- Some payroll administration and HR support experience.
- Experience supporting multiple office locations and remote field operations.
- Excellent organizational, time management, and problem-solving skills.
- Strong verbal and written communication abilities.
- Ability to manage confidential information with professionalism and discretion.
- Ability to prioritize multiple projects and deadlines in a fast-paced environment.
Preferred Qualifications
- Experience in utility vegetation management, utility contracting, construction, environmental services, tree care, or related field operations industries.
- Familiarity with union environments and collective bargaining agreements.
- Experience coordinating with remote supervisors and geographically dispersed crews.
- Experience supporting employee onboarding for high-volume field workforces.
- Familiarity with vendor portals and client reporting platforms.
Pay: $27.00 - $29.00 per hour
