Administrative Assistant (Contract)

Summary:
This position offers an opportunity to provide high-level administrative support to senior leadership within a dynamic team dedicated to making a meaningful difference for their customers. The role requires managing complex administrative functions for two senior leaders and a program manager, including one manager based in the United States and another in the United Kingdom. This position demands flexibility, strong organizational capabilities, and the ability to juggle multiple priorities across different time zones. The successful candidate will serve as a critical liaison, ensuring seamless operations and enabling leadership to focus on strategic initiatives. This is a remote position requiring availability during Eastern Standard Time hours with some flexibility to accommodate international collaboration.
Job Responsibilities:
Manage complex schedules and calendars for two senior leaders across different time zones
Coordinate comprehensive travel arrangements for leadership team members
Process business expenses and maintain accurate expense reporting
Coordinate meetings and events for each manager's respective team
Support global off-campus meeting requests and logistics
Book and organize team calls and virtual meetings
Arrange event logistics including organizing contacts and coordinating details
Provide administrative support for special projects as assigned
Serve as a point of contact between leadership and internal stakeholders
Requirements:
2-4 years of administrative support experience
Demonstrated experience supporting senior-level executives
Proven track record of stable employment tenure without frequent job changes
Experience coordinating across multiple time zones preferred
Advanced calendar management and scheduling coordination
Expense management and reporting proficiency
Event logistics support and coordination
Strong organizational and time management abilities
Excellent written and verbal communication skills
Ability to work independently with minimal supervision
Flexibility to accommodate different time zones
Attention to detail and accuracy
Proficiency with standard business software and tools
Discretion and ability to handle confidential information

Duration: 3 months
Pay Range*: $24 - $27 per hour
Weekly Schedule: 25 hours
Job Status: Non-Exempt
