Position Overview
The Planning & Operations Sr. Associate is a role that blends paraplanning-adjacent support (document collection, scheduling, data input, new client onboarding) with Family Office Operations. The role requires close coordination with both internal team members and external professionals (M&A advisors, estate attorneys, CPAs, and other specialists) supporting our clients, including ultra-high-net-worth (UHNW) and Family Office (FO) relationships.
The ideal candidate will have previous experience working in a financial services role, is comfortable interfacing with both clients and external partners daily, enjoys managing multiple projects at the same time, and is proactive in keeping team members on task.
This is a growth-oriented role: as the firm continues to grow, there is a clear path to increased scope and seniority within planning operations and client support, without a required track toward a specific licensing or designation track.
Key Responsibilities
Planning Process Support
- Track clients through each stage of the financial planning workflow, ensuring nothing stalls or falls through the cracks
- Collect, organize, and follow up on required client documents (account statements, tax returns, estate documents, insurance policies, etc.)
- Input and maintain client data in financial planning software and CRM systems
- Prepare meeting materials, agendas, and planning packets for advisor-client meetings
- Manage scheduling for client meetings, internal prep sessions, and advisor calendar
Cross-Functional Coordination
- Serve as a point of contact between internal advisors and external professionals: attorneys, CPAs, M&A deal teams, and other specialists, to keep multi-party workstreams on track
- Coordinate document exchange and follow-up items across parties involved in complex planning engagements (estate structuring, business transitions, liquidity events)
- Track action items and deadlines across planning teams to ensure timely follow-through
Operational Support
- Assist with operational workflows tied to UHNW and Family Office client servicing, including account opening/maintenance, transfers, and specialized paperwork
- Support process documentation and refinement to improve efficiency across the planning team
- Assist with special projects (e.g., technology transitions, compliance initiatives, team workflow improvements) as assigned
- Help maintain accurate records for audit and compliance purposes
- Excellent written and verbal communication skills, capable of interfacing professionally with attorneys, CPAs, and other outside professionals
- Proficiency with financial planning software, CRM platforms, and Microsoft Office
- Discretion and professionalism when working with UHNW and Family Office clients and sensitive financial matters
- Interest in long-term growth within a scaling financial planning/wealth management firm
