Job Summary
The Maintenance Supervisor will constantly strive to improve the operation and maintenance of the physical plants, resident and tenant comfort levels, employee productivity and efficiency of environmental equipment, equipment longevity, energy management and tenant relations. The Maintenance Supervisor will be responsible for all activities related to maintenance and customer service, 24-hour emergency maintenance on-call program, preventative maintenance, apartment turnover maintenance, curb appeal, in accordance with the company’s and the community’s established policies and procedures. The Maintenance Supervisor will provide the highest quality possible in resident customer service while maintaining professionalism at all times. They must represent the company in all aspects of their work and assist the property management staff by consistently communicating effectively and professionally with residents.

Key Responsibilities
The Maintenance Supervisor is responsible for ensuring that the physical aspects of the community meet the company’s established standards for safety, appearance, and operation within the budgeted financial goals. Responsibilities include, but are not limited to, managing the inventory of “ready” apartments to support the community’s marketing and leasing efforts, scheduling contractors, or assisting in completing the turn process, inspecting ready apartments for move-in quality, and any other responsibilities that may be required from time to time as requested by the Property Manager, and/or any of the Senior Management Team. The Maintenance Supervisor is also responsible for complying with the company’s and the community’s operating and safety policies and procedures and adhering to federal, state, and local laws pertaining to the operation of the community. This position is also responsible for complying with all state, federal, and/or local laws relating to Fair Housing.
● Supervise, schedule, and evaluate the performance of the maintenance staff, including Maintenance Technicians, providing training, coaching, instruction, and corrective action as needed.
● Schedule and coordinate apartment unit turns and ensure the quality and quantity of market-ready apartments, including vendor and contractor scheduling, to support the community’s leasing and occupancy goals.
● Conduct regular walks and inspections of the building, grounds, and market-ready/model apartments to identify deficiencies, ensure a well-maintained appearance, and make or coordinate needed repairs; communicate any service-related needs to the Property Manager.
● Determine the extent of repairs and necessary corrective measures for the property’s HVAC, electrical, and related building equipment, including base building systems and lobby and parking lot lighting.
● Check Energy Management Systems each morning before start of building operating hours and periodically throughout the day to ensure that building HVAC systems are operating properly and take measures to correct any issues promptly.
● Manage the inventories and stocking levels for electrical, plumbing, HVAC, tools, and other maintenance supplies, and coordinate the purchase of required supplies with the PM.
● Maintain records relevant to building operations. Maintain files containing written records of maintenance services, equipment inventory, operating manuals, general supply, and parts inventory, and a library consisting of pertinent data relating to operating equipment, building fixtures, and updated tenant drawings and plans.
● When and if the need arises, the Maintenance Supervisor will be expected to devote extra time to building operations and to perform physical operational tasks.
● Call in, coordinate, and communicate with contractors and vendors for repairs and improvements when needed, including scheduling, vendor relations, and certificates of insurance, and escort contractors as needed (e.g., for fire alarm, sprinkler, elevator, and HVAC systems).
● Respond to work orders in a timely manner.
● Review utility bills with PM for possible energy reduction.
● Estimate prices for repairs.
● Oversee the elevator maintenance contractor; maintain monthly inspection and test logs and ensure a timely, appropriate response to entrapments and other elevator emergencies, in compliance with state elevator permit requirements.
● Operate and maintain the building’s fire and life-safety systems, including the fire command center and fire alarm panel, standpipe, sprinkler, fire pump, and fire extinguisher systems, and smoke control/stairwell pressurization systems; ensure all annual fire safety inspections and certifications are completed with no lapse, in coordination with the Property Manager and the local fire marshal.
● Administer the building’s fire drill and evacuation plan in coordination with Property Manager
● Monitor and maintain central plant equipment, including chillers, cooling towers, boilers, and water treatment programs, as well as mechanical, electrical, and pump rooms; monitor the Building Automation System (BAS/BMS) to ensure efficient operation.
● Must be organized, with a strong mechanical background in apartment maintenance operations and computer literacy in MS Word, email, Excel, and general internet use.
● Emergency Maintenance On-Call 24/7, as required per site schedule.
● Prepare and/or implement procedures and systems within company guidelines to ensure orderly, efficient workflow.
● On call and respond to calls from the security monitoring firm, answering services.
● Installation and repair of locksets and related issues.
● Snow removal from sidewalks, curbs and loading dock areas using powered and manual equipment.
● Coordinate common area maintenance (CAM), loading dock/freight elevator scheduling, tenant build-outs, and after-hours contractor access for retail and commercial tenants.
● Maintain parking garage equipment, including gates and clickers, and serve as a point of contact for building security and access control systems, including CCTV and key-fob access.
● Any reasonable assignment or request related to the building operation as directed by Supervisors.
● Ability to read, write, speak, and understand English fluently, with strong communication, interpersonal, and customer-service skills.
● Ability to evaluate objectively and consistently, use common tools and miscellaneous office equipment, and follow directions with minimal supervision.
Qualifications & Requirements
● High School Diploma.
● 5 years related experience.
● Universal HVAC Certification
● OSHA 10-Hour or 30-Hour certification preferred.
Physical and Medical Requirements
Ability to physically perform the duties and to work in the environmental conditions required of a position in this class, including:
● Ability to push minimum 100 pounds (power cleaning appliances); ability to lift minimum 50 pounds (trash and supplies).
● Ability to climb ladder and step ladder.
● Ability to access roof and mechanical penthouse areas.
● Ability to work in mechanical, electrical, and other confined building system spaces.
● Bending at the waist, sitting, kneeling, laying horizontally, climbing, walking, etc., as job may require.

Pay: $29.00 - $34.00 per hour
