Summary:
The Grants and Accounting Manager is responsible for overseeing grant financial management, accounting operations, compliance, reporting, and billing activities for Talbot House Ministries. This position ensures effective stewardship of grant funding from government, foundation, corporate, and private sources while maintaining accurate financial records and supporting organizational financial sustainability.
The Grants and Accounting Manager serves as the primary liaison between program leadership, grant funders, executive leadership, and the organization’s external accounting consultant to ensure compliance with funding requirements, Generally Accepted Accounting Principles (GAAP), and other applicable regulations.
This position is part of the Emergency Response Team and is expected to be available on-site during weather-related emergency situations (e.g., tropical storms, hurricanes). In the event of a weather-related emergency, you will report to the Director of Operations for specific instructions. Special circumstances will need to be approved by your immediate supervisor.
Core Responsibilities/Essential Functions:
Grant Management & Reporting
- Oversee financial administration of all grants and contracts.
- Monitor grant expenditures and budget utilization to ensure compliance with funding requirements.
- Prepare, review, and submit grant reimbursement requests, billings, and financial reports.
- Maintain grant tracking systems, reporting calendars, and supporting documentation.
- Collaborate with Program Directors to ensure appropriate allocation and tracking of grant-funded expenses.
- Assist with the development of grant budgets and financial narratives for funding proposals.
- Research and track potential grant funding opportunities.
Accounting & Financial Oversight
- Supervise Accounts Receivable and Accounts Payable functions.
- Oversee grant revenue reconciliation and expense allocations.
- Coordinate month-end and year-end financial activities with the external accounting consultant.
- Assist with annual audit preparation and organizational budget development.
- Monitor grant-related cash flow and reimbursement activities.
- Maintain accurate, complete, and audit-ready financial records.
- Ensure compliance with GAAP (Generally Accepted Accounting Principles) and other applicable regulatory requirements.
Payroll & Grant Allocation Support
- Review payroll allocations for grant-funded positions to ensure accurate cost distribution.
- Maintain personnel cost documentation required by grant funders.
- Coordinate with Human Resources and payroll personnel regarding staffing or funding changes affecting grants.
- Support payroll reconciliations related to grant reporting requirements.
Compliance & Leadership
- Ensure compliance with grant agreements, funding requirements, and applicable regulations.
- Prepare for grant monitoring visits, audits, and financial reviews.
- Develop and maintain grant management procedures and internal controls.
- Identify and address potential compliance risks.
- Supervise assigned staff, including workflow management, coaching, performance evaluations, and professional development.
- Serve as a financial resource to program leadership regarding grant administration and budget management.
Key Performance Indicators:
- Grant reports and reimbursement requests submitted accurately and by required deadlines.
- Grant expenditures maintained within approved funding requirements and budget parameters.
- Timely completion of monthly financial reconciliations.
- Financial records maintained in an audit-ready condition.
- Successful completion of grant monitoring visits and audits with minimal findings.
- Accurate payroll allocations and grant expense reporting.
- Effective supervision, training, and development of assigned staff.
- Maintenance of a current grant opportunity pipeline and support of funding growth initiatives.
Required Skills/Abilities:

Education and Background:
Required
- Bachelor’s degree in Accounting, Finance, Business Administration, Public Administration, Nonprofit Management, or a related field.
- Minimum of five (5) years of nonprofit accounting and grants management experience.
- Experience managing government, foundation, and other grant-funded programs.
- Experience preparing grant budgets, reimbursement requests, and financial reports.
- Supervisory experience.
Preferred
- CPA, CMA, or Grant Management certification.
- Experience with HUD, ESG, CSBG, CDBG, VA, USDA, SAMHSA, or similar funding programs.
- Experience in human services, healthcare, behavioral health, housing, or nonprofit organizations.
- Experience supporting external audits and grant monitoring reviews.
Physical Requirements:
- Ability to sit, stand, and work at a computer for extended periods of time.
- Regular use of a computer, telephone, and standard office equipment.
- Ability to communicate effectively in person, electronically, and by telephone.
- Ability to occasionally lift and carry up to 20 pounds.
- Ability to travel locally as needed for meetings, trainings, audits, or grant-related activities.
- Ability to respond during emergency situations as required by organizational needs.
All positions at Talbot House Ministries require mandatory ongoing training and every employee is required to be available for all scheduled training. In addition, employee attendance is required at all mandatory staff meetings.
Pay: $70,000.00 per year
