Overview
A part-time Parish Administrator is required to provide administrative support within our Catholic parish. This role is pivotal in ensuring the smooth running of parish operations,
particularly in sacramental preparation and record-keeping. The successful candidate will work collaboratively with the clergy team and staff colleagues while maintaining the welcoming and pastoral nature of our community.
Key Details
· Hours: 20 hours per week (timing to be arranged with successful candidate)
· Location: Parish Office, Davenport, IA.
· Reports to: Parish Priest
Main Responsibilities
1. Sacramental Administration
o Process and verify documentation for sacramental preparation (Baptism, First Holy Communion, Confirmation, Marriage)
o Check and record baptismal certificates and other sacramental documentation
o Maintain accurate records of sacramental preparation and participation
o Coordinate volunteers in setting up Family Day events and similar activities
2. Parish Records Management
o Utilize ParishSoft software for maintaining parish contacts, calendar, and workflows
o Ensure data protection compliance in line with diocesan regulations
o Maintain organized digital and physical filing systems
3. Communication
o Respond to email and telephone enquiries professionally and promptly
o Refer pastoral questions and concerns to clergy as appropriate
o Assist with parish communications as needed (newsletters, announcements)
4. Team Collaboration
o Work cooperatively with other parish staff
o Participate in staff meetings when required
o Support the clergy team during busy liturgical seasons
5. General Administration
o Process correspondence and maintain office supplies
o Assist with scheduling parish facilities when needed
o Support the preparation of materials for parish events and activities
6. Other tasks as reasonably requested
Person Specification Essential Requirements
· Strong administrative and organizational skills
· Excellent written and verbal communication abilities
· Proficiency in Microsoft Office and willingness to learn ParishSoft
· Ability to work with confidential information with discretion
· Attention to detail, particularly in record-keeping
· Self-motivated with ability to work independently
· Commitment to upholding the values and ethos of the Catholic Church
Desirable Requirements
· Familiarity with the Catholic Church, its liturgical calendar and sacramental life
· Previous experience in an administrative role
· Knowledge of diocesan and data protection requirements
· Experience with database management
· Understanding of parish structures and diocesan procedures

· There may occasionally be a need for flexibility in working hours during busy liturgical seasons (Christmas, Easter, etc.)

Pay: From $15.00 per hour
