Summary
The Administrative Assistant – Residential provides administrative support to ensure the smooth operation of leasing activities within residential apartment communities. This role supports leasing functions and serves as a backup point of contact for team members, residents, prospective tenants, and vendors as needed, while assisting with day-to-day leasing office operations.
Responsibilities
· Assist in the leasing process by following up on leads, scheduling appointments, and conducting property showings as needed.
· Serve as backup support for leasing functions and front office coverage when required.
· Communicate with prospective tenants and residents via phone and email to provide information and address inquiries, escalating as appropriate.
· Track and follow up on maintenance tickets, coordinating with operational staff and vendors to support timely resolution.
· Communicate with residents regarding maintenance updates and general concerns.
· Provide general administrative support to property management staff, including preparing reports and coordinating follow-ups.
· Handle sensitive resident and property information in accordance with company policies and confidentiality standards.
· Support team initiatives and community events and activities as needed.
· Follow all safety procedures and company policies.
· Perform other duties as assigned.
Qualifications
· High school diploma or equivalent; office administration education or certification preferred.
· One to three years of administrative support or office management experience.
· Strong customer service, interpersonal, and communication skills, with the ability to interact professionally with residents, prospective tenants, and team members.
· Excellent written and verbal communication, organizational, time management, and attention-to-detail.
· Proactively identifies opportunities to improve operations, efficiency, and customer service.
· Professional, discreet, and customer-focused approach.
· Adaptable and willing to support multiple areas of leasing and office operations.
· Proficiency with Microsoft Office Suite; willingness to learn property management software.
· Ability to follow direction, work as part of a team, and support day-to-day property management activities.
· Sales experience a plus.
Pay: $20.00 - $22.00 per hour
