Job Summary
We are seeking a dedicated and compassionate Mental Health Office Assistant to join our dynamic healthcare team. Responsibilities
- Greet patients and visitors warmly, managing front desk operations with professionalism and courtesy.
- Schedule appointments efficiently using medical scheduling software, coordinating with clinicians and patients to optimize clinic flow.
- Manage electronic health records (EHR) systems such as Azzly to ensure accurate documentation and recordkeeping.
- Provide support to the program director.
- Assist with medical billing and collections, including verifying insurance coverage, processing payments, and understanding health insurance policies like Medicare and HIPAA compliance.
- Review clinical documentation for accuracy, completeness, and adherence to confidentiality policies; update care plans as needed.
- Handle phone communication with patients, providers, and insurance companies using proper phone etiquette; relay messages accurately.
- Support medical office management tasks such as filing, data entry (including 10 key typing), and maintaining medical records in compliance with HIPAA regulations.
- Utilize computer skills to navigate EMR/EHR systems efficiently while maintaining high standards of clerical accuracy.
- Assist with medical coding tasks including CPT (Current Procedural Terminology), ICD-9/10 (International Classification of Diseases), ICD coding, and documentation review for billing purposes.
- Maintain a clean, organized office environment ensuring all supplies are stocked and equipment functions properly.
Qualifications
- Prior clinic or medical office experience is highly preferred, especially within mental health or behavioral health settings.
- Strong knowledge of EMR/EHR systems such as Azzly, ; experience with electronic health records management is essential.
- Proficiency in medical billing, coding (CPT, ICD-9/10), and healthcare documentation review.
- Familiarity with health insurance processes including Medicare and HIPAA regulations to ensure compliance.
- Excellent customer service skills with the ability to communicate effectively via phone and in person; bilingual abilities are a plus.
- Demonstrated clerical experience including filing, data entry (10 key typing), and office management tasks.
- Knowledge of medical terminology relevant to mental health services; ability to handle sensitive information confidentially.
- Strong computer skills across Microsoft Office applications along with familiarity with electronic health record systems.
- Ability to multitask efficiently in a fast-paced environment while maintaining attention to detail.
