Overview
We are seeking an energetic and detail-oriented Receptionist (Client Services Coordinator) to be the welcoming face of our firm. In this vital role, you will manage front desk operations, serve as the first point of contact for clients and visitors, and support office management functions. Your positive attitude, excellent communication skills, and ability to multitask will ensure a smooth and professional experience for everyone who walks through our doors.
Duties
- Handle incoming calls
- Greet clients, offer beverages, and hang up coats
- Pick-up morning newspapers from mail room and bring to the front desk
- Sign for UPS/Fed Ex deliveries and ensure they are delivered to appropriate person
- Take client payments and route to accounting or responsible attorney
- Order food for meetings
- Maintain immaculate reception, coffee station, work desk and lobby area
- Schedule/set up conference rooms
- Coordinate use and set up of conference room (coffee, blinds, conf. phone, equip/IT, etc.)
- Stock refrigerators in conference room and by the front desk as well as coffee station
- Help with bulk mailings and other projects from staff
- Keep track of employees in/out of office, in conference, etc.
- Update front desk sheet used to track employees in/out
- Check Info email account and distribute emails accordingly
- Circulate incoming faxes
- Notify building of early and special closings to lock elevators
- Assist Office Services Coordinator with administrative tasks
- Help distribute holiday gifts and cards to designated clients, vendors, and building staff
- Sort mail when Office Services Coordinator is unavailable
- Assist in reporting maintenance items to Customer Care at Lund Co (landlord)
- Assist with marketing assignments and I.T.
- Other duties as assigned
Requirements
- High School Diploma/GED
- Excellent communication and customer service skills
- 3+ years of experience in a similar position
- Proficient in Microsoft Word, Excel and Outlook
- Excellent phone etiquette and communication skills across multiple channels
- Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook)
- Previous clerical or administrative experience preferred; customer service background highly valued; some experience in I.T. and marketing are a plus
- Strong time management skills with the ability to prioritize tasks effectively

Pay: $21.00 - $24.00 per hour
