We are seeking a detail-oriented Accounting Assistant to provide accounting and administrative support for Winward Electric's daily operations. This position is responsible for assisting with accounts payable, accounts receivable, payroll support, job costing, and general office administration while ensuring accurate financial records, timely processing of transactions, and exceptional service to employees, customers, and vendors.

Key Responsibilities:
- Prepare first-pass account reconciliations, journal entry support, and month-end close documentation for Controller review.
- Process vendor invoices by verifying coding, matching supporting documentation, and entering invoices into the accounting system.
- Process lien waivers and assist in resolving short-pay discrepancies.
- Maintain job costing records, assist with job setup, prepare job hours reports, and support project closeout activities.
- Assist with weekly payroll processing and maintain payroll documentation, including 401(k) contributions, deductions, and garnishments.
- Prepare and distribute customer invoices in a timely manner.
- Apply customer payments and post cash receipts to the appropriate accounts.
- Process vendor payments and maintain accurate accounts payable records.
- Reconcile vendor statements, company credit card transactions, and supporting documentation.
- Maintain billing schedules and assist with collections of outstanding balances.
- Process daily mail, prepare bank deposits, and distribute correspondence.
- Respond to customer and vendor inquiries while coordinating with internal departments to resolve issues.
- Greet visitors, answer and direct incoming telephone calls, and provide general office support.
- Maintain organized accounting records, administrative files, and financial documentation.
- Assist with office supply purchasing, new hire onboarding paperwork, terminated employee files, and other administrative duties as assigned.
Qualifications:
- High school diploma or equivalent required.
- At least one year of accounting, bookkeeping, payroll, or accounts payable/accounts receivable experience required.
- Hands-on experience processing accounts payable and/or accounts receivable transactions.
- Experience entering financial transactions and maintaining supporting documentation within an accounting or bookkeeping system.
- Experience assisting with account reconciliations, including vendor statements, company credit cards, and bank-related transactions.
- Working knowledge of basic accounting principles, including debits, credits, account coding, and general ledger transactions.
- Proficiency in Microsoft Excel, including data entry, sorting, filtering, and basic formulas, as well as Microsoft Office Suite.
- Strong administrative writing and communication skills.
- Excellent attention to detail with accurate data entry and recordkeeping abilities.
- Strong organizational and time management skills with the ability to manage multiple priorities in a fast-paced environment.
- Professional demeanor with excellent interpersonal and customer service skills.
- Experience with inventory management and reporting is a plus.
Work Environment & Physical Requirements:
- Primarily office-based with prolonged periods of sitting and computer use.
- Frequent use of hands for keyboarding, data entry, and other repetitive office tasks.
- Regular use of telephones and office equipment.
- Occasional lifting and moving of items up to 15 pounds.
- May occasionally work in field environments and be exposed to varying weather conditions and active construction sites.
