About the Role
Museum of Illusions is seeking an experienced and detail-oriented Payroll Manager to oversee end-to-end U.S. payroll operations. This role is responsible for ensuring accurate and timely payroll processing, maintaining compliance with federal, state, and local regulations, and partnering closely with HR, Finance, and operational leaders to deliver an exceptional employee experience.
The ideal candidate will possess strong expertise in Workday Payroll, ADP Smart Compliance, and multi-state payroll compliance. This is a hands-on role requiring both strategic thinking and operational execution.
What You'll Get to Do
Payroll Operations

Manage and process biweekly payroll for U.S.-based employees through Workday Payroll.

Ensure payroll is completed accurately, compliantly, and on schedule.

Audit and reconcile timesheets, wage adjustments, benefit deductions, paid time off, new hires, and terminations.

Coordinate with museum leadership to ensure accurate reporting of employee hours and payroll changes.

Respond to employee payroll inquiries and resolve payroll-related issues in a timely manner.
Compliance & Tax Administration

Maintain compliance with federal, state, and local payroll regulations.

Monitor and manage payroll tax reporting, wage garnishments, and regulatory requirements.

Utilize ADP Smart Compliance to support tax management, payment solutions, reconciliations, and issue resolution.

Monitor ADP Smart Compliance Payment Solutions and resolve processing errors as needed.

Serve as the primary point of contact for payroll providers, auditors, and government agencies.
Financial & Accounting Support

Partner with the Controller to ensure payroll journal entries, tax filings, and payroll-related financial data are accurate and properly documented.

Support monthly close activities and payroll reconciliations.

Assist with annual audits and provide required payroll documentation.

Support accounting and finance projects as assigned.
Process Improvement

Identify opportunities to improve payroll processes, automation, and system efficiencies.

Maintain payroll policies, procedures, and internal controls to support audit readiness and compliance.

Partner with HR to align payroll processes with benefits administration, workforce planning, and organizational initiatives.
What We're Looking For
Required Qualifications:

Proficiency with Workday Payroll.

Experience with ADP Smart Compliance, including tax and payment solutions.

Strong knowledge of federal, state, and local payroll tax regulations.

Experience managing payroll in a multi-state environment.

Knowledge of wage and hour laws, garnishments, and payroll compliance requirements.

Strong analytical, problem-solving, and organizational skills.

Excellent communication and collaboration skills.

Ability to handle highly confidential information with discretion.
Preferred Qualifications:

Bachelor's degree in Accounting, Finance, Human Resources, Business Administration, or a related field (or equivalent experience).

3+ years of payroll management experience.

Experience configuring and maintaining Workday Payroll, including:

Earnings and deduction codes
-
State tax setup
-
Payroll calendars and periods
-
Holiday calendars
-
Experience supporting payroll audits and process improvement initiatives.
