Job Summary
EFP Industrial Automation, a leading automation solutions distributor, is seeking a detail-oriented Office Administrator to support our Accounting, Customer Care, and general office operations. This position plays a key role in maintaining accurate financial records, verifying and processing vendor invoices, supporting human resources processes, and ensuring daily office processes are completed accurately and efficiently.
The ideal candidate will bring practical bookkeeping/accounting experience, strong organizational skills, critical thinking proficiency and the ability to handle confidential information with accuracy and professionalism.
Responsibilities
- Verify and process vendor invoices using a 3-way match system to ensure accuracy and processing from shipment confirmation to voucher payment
- Support weekly and bi-weekly accounts payable payment processing
· Assist with payroll preparation, review, and related documentation
· Support employee onboarding by preparing paperwork, maintaining employee records, and coordinating required setup tasks
- Receive and apply daily payments (check, ACH, and credit card) accurately
· Perform bank reconciliations and assist with month-end accounting tasks
· Assist with sales tax reporting, documentation, and related account reconciliations
- Serve as primary backup for shipping and receiving, including verifying incoming shipments and assisting with outbound packages
- Verify purchase order acknowledgements and follow up with vendors when needed
- Proactively expedite purchase orders and communicate updates or delays internally
- Maintain office stock levels of necessary supplies
Qualifications
- Strong attention to detail and accuracy in daily work
- Mathematical aptitude and comfort working with numbers
- Strong organizational skills and ability to analyze anomalies in data to resolve discrepancies
- Professional communication skills (phone and email)
· 2–5 years of bookkeeping or accounting experience, or equivalent education
- 50+ WPM typing speed with proficiency in 10-key pad
