What You'll Be Doing:
The Service Clerk plays a key role in delivering an exceptional customer experience by serving as the first point of contact for customers while providing administrative and service support to the branch. This position combines receptionist, administrative, and service advisor responsibilities to ensure efficient office operations, effective communication, and smooth service department workflow. The Service Clerk greets customers, answers phones, supports service scheduling, assists with work order administration, and helps maintain strong customer relationships throughout the repair process.
Responsibilities:
- Greet, welcome, and assist customers, visitors, and vendors in person and over the phone.

Answer, screen, and direct incoming calls while providing information and support as needed.

Serve as a liaison between customers, technicians, and service personnel to ensure clear communication and accurate expectations.

Assist customers with service inquiries, appointments, repair updates, and service documentation.

Support service department operations by creating, updating, and maintaining work orders and service records.

Coordinate scheduling for service appointments and administrative activities.

Perform general clerical and administrative duties including filing, data entry, document preparation, scanning, and record management.

Assist with invoicing, accounts receivable, accounts payable, and other accounting-related tasks as assigned.

Manage multiple priorities and projects while maintaining accuracy and attention to detail.

Maintain customer and company records in service management and business systems.

Utilize computer software and office technology efficiently to support daily operations.

Support various departments as needed while promoting teamwork and operational efficiency.

Maintain a professional, organized, and welcoming environment for customers and employees.
Qualifications:
What's Required
Skills / Experience

Strong customer service orientation with excellent verbal and written communication skills.

Highly organized, detail-oriented, and able to prioritize effectively in a fast-paced environment.

Ability to manage multiple tasks while maintaining professionalism and accuracy.

Basic mechanical aptitude or ability to learn and communicate service and repair information effectively.

Proficient in Microsoft Office applications, including Word, Excel, Outlook, and business management software.

Demonstrated ability to remain calm and focused under pressure.

High level of integrity, reliability, and professionalism.

Strong interpersonal skills and ability to work effectively with customers, technicians, vendors, and coworkers.

Flexible and adaptable to changing priorities and business needs.
Preferred Experience
-
Previous receptionist, administrative assistant, customer service, service advisor, or service department experience preferred.

Experience supporting accounts receivable, accounts payable, or other accounting functions.

Experience coordinating customer communications and scheduling activities.

Experience working in agricultural, diesel, automotive, heavy equipment, or service-related industries preferred.
Education

High School Diploma or Equivalent
Physical Requirements
