Position Summary
The Container Freight Station (CFS) Customer Service Representative serves as the primary point of contact for customers, freight forwarders, trucking companies, airlines, and warehouse personnel. This position is responsible for coordinating inbound and outbound freight, processing shipping documentation, and communicating shipment status. The ideal candidate is organized, customer-focused, and capable of working in a fast-paced logistics environment.
Essential Duties and Responsibilities
- Serve as the primary customer contact regarding inbound and outbound shipments.
- Answer incoming telephone calls and respond promptly to customer emails.
- Receive, process, and distribute shipping documentation, including:
- Air Waybills (MAWB/HAWB)
- Bills of Lading
- Delivery Orders
- Customs documents
- Warehouse receipts
- Coordinate freight availability with warehouse personnel.
- Schedule customer pickups and deliveries.
- Verify shipment information for accuracy and completeness.
- Communicate shipment status, delays, and exceptions to customers.
- Prepare warehouse releases and delivery documentation.
- Enter shipment information accurately into the company's warehouse management and transportation systems.
- Coordinate with dispatch regarding customer pickups and deliveries.
- Monitor freight arrival notifications and ensure timely processing.
- Assist customers with tracing shipments and resolving service issues.
- Maintain accurate customer files and shipment records.
- Process proof of deliveries (PODs) and related documentation.
- Work closely with Operations, Dispatch, Warehouse, and Accounting departments.
- Ensure all documentation complies with TSA, CBP, and company security requirements.
- Maintain confidentiality of customer information.
- Provide exceptional customer service while maintaining professionalism.
- Assist with special projects and other duties as assigned.
Required Qualifications
- High school diploma or GED required.
- Minimum two years of customer service experience.
- Previous experience in transportation, logistics, freight forwarding, warehousing, or Container Freight Station operations preferred.
- Strong computer skills, including Microsoft Outlook, Word, and Excel.
- Experience with transportation management systems (TMS) or warehouse management systems (WMS) preferred.
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Ability to prioritize multiple assignments under tight deadlines.
- Professional telephone etiquette.
- Strong attention to detail and accuracy.
- Ability to work independently and as part of a team.
Knowledge, Skills, and Abilities
- Knowledge of domestic and international freight documentation.
- Understanding of CFS operations and warehouse processes.
- Knowledge of TSA Cargo Security requirements is preferred.
- Familiarity with U.S. Customs documentation is preferred.
- Ability to resolve customer concerns professionally.
- Ability to maintain composure in a fast-paced environment.
- Strong problem-solving and decision-making skills.
- Excellent time management skills.
- Ability to maintain confidential information.
Physical Requirements
- Frequently sit, stand, walk, and use hands for computer and office equipment.
- Occasionally lift up to 25 pounds.
- Ability to work in both office and warehouse environments as needed.
- Ability to perform repetitive keyboard work.
Working Conditions
- Fast-paced logistics and warehouse environment.
- Frequent interaction with customers, truck drivers, warehouse personnel, and management.
- Occasional overtime and weekend work may be required based on business needs.
Preferred Qualifications
- Experience working in a Container Freight Stations (CFS).
- Experience with bonded warehouse operations.
- Knowledge of airline cargo procedures.
- Familiarity with TSA Certified Cargo Screening Program (CCSP).
- Bilingual (English/Spanish) preferred.
