Job Overview
We are seeking an experienced Office Manager/Administrative Assistant to oversee the daily administrative operations of our small manufacturing facility. Established in 1924, our foundry values teamwork, safety, quality, dependability, and accountability.
This key role combines office management with executive administrative support, ensuring the efficient day-to-day operation of the office while working closely with the President and partnering with each department. The ideal candidate is proactive, highly organized, detail-oriented, and able to manage multiple priorities with professionalism and confidentiality. Strong communication skills are essential. The successful candidate will play an integral role in maintaining efficient business operations, supporting leadership, fostering a productive and well-organized workplace, helping create a positive, professional work environment for employees, customers, and visitors.
Duties
- Process weekly payroll.
- Prepare shipping documentation for outgoing customer orders.
- Receive, reconcile, and file shipping and receiving paperwork.
- Enter customer purchase orders.
- Process accounts payable and pay company invoices.
- Prepare weekly and monthly reports.
- Monitor and respond to company emails as appropriate.
- Answer incoming phone calls and greet visitors.
- Maintain organized office records and filing systems.
- Order office supplies and maintain office inventory.
- Provide administrative support to the President.
- Coordinate company events and employee outings two to three times per year.
- Assist with recruiting by posting positions, screening applicants, and coordinating with staffing agencies.
- Manage new hire onboarding, employment paperwork, and personnel files.
- Coordinate annual health insurance renewals and other employee administrative processes.
- Perform other administrative duties as assigned.
Qualification and Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams) and familiarity with spreadsheets and data entry tools
- Experience with Paychex, Sage Accounting, and ERP Systems are preferred
- Experience in a manufacturing environment
- Strong organizational skills with the ability to multitask efficiently
- Demonstrate clerical experience including filing, proofreading, typing, and document preparation
- Exceptional time management skills with the ability to prioritize tasks effectively
- Customer service expertise with a focus on client communication and support

Pay: $50,000.00 - $65,000.00 per year
