We’re seeking a proactive, highly organized Executive Assistant to support our executive team and oversee the day-to-day operations of our office. This role is essential to keeping our office running smoothly, coordinating team logistics, in charge of recruitment and onboarding, and ensuring the executive team is equipped to operate at full capacity. Key Responsibilities:
- Office & Administrative Support
- Retrieve, organize, and distribute company mail daily.
- Maintain inventory and ensure the office is stocked with necessary supplies and snacks/refreshments.
- Set up and maintain workstations for new employees, including equipment and onboarding materials.
- Scan and upload documents to our Box drive to ensure digital record-keeping and organization.
- Assist with various administrative tasks, including managing paperwork and general clerical support.
- HR & Recruitment Support
- Run initial interviews for all job openings and schedule and coordinate second interviews with potential hires across departments.
- Prepare onboarding documentation and assist new hires with setup and orientation.
- Financial & Purchasing Support
- Help coordinate company purchases using the company credit card, including vendor communication and order tracking.
- Track, record, and reconcile employee expenses and receipts.
- Event & Travel Coordination
- Plan and coordinate company events, retreats, and holiday parties.
- Book travel arrangements for company executives and staff as needed.
- Semi-Monthly Payroll Processing.
Requirements:
- Proven experience in an executive or administrative assistant role.
- Strong organizational and time management skills.
- High level of integrity and discretion in handling confidential information.
- Excellent written and verbal communication skills.
- Comfortable with technology and office tools (Google Workspace, Microsoft Office, Box, etc.).
- Must be proactive, resourceful, and able to work independently.
